Key Responsibilities
  • Client Communication and Support: Manage client interactions, ensuring timely and professional responses to their inquiries and requests.
  • Client Review Meetings: Schedule and coordinate client review meetings between clients and advisors, facilitating a seamless experience.
  • Account Monitoring: Monitor cash deposits, withdrawals, and balances in client accounts, ensuring accuracy and compliance.
  • Client Requests: Process client requests, including RMDs, wires, ACH/Money Links, check distributions, charitable giving, and address changes, in a timely and efficient manner.
  • Compliance and Procedures: Consistently follow established procedures to ensure compliance and maintain the highest standards of client service.
  • Custodian Processes: Gain a thorough understanding of custodian processes, particularly Charles Schwab and Fidelity, to provide expert support to clients and advisors.
  • Team Collaboration: Work effectively as part of a team, collaborating with Wealth Advisors, Associate Advisors, Operations, portfolio managers, and platform support to ensure client needs and objectives are accurately met.
Secondary Responsibilities
  • Client Projects: Assist with multiple client and practice-related projects simultaneously, demonstrating adaptability and a strong work ethic.
  • Client Records: Obtain and organize confidential client records, maintaining the highest standards of confidentiality and data security.
  • Database Management: Maintain accurate and up-to-date client information in our CRM system.
  • Reports and Analytics: Prepare and facilitate reports for client review meetings and quarterly client reports, providing valuable insights and analysis.
  • Operations Tasks: Initiate and monitor Operations tasks related to client accounts and transactions, ensuring seamless execution.
  • Client Onboarding: Onboard and train new clients, facilitating a positive client experience in using technology and obtaining and sharing records, reports, and communications.
Requirements
  • Strong Communication Skills: Possess excellent communication skills for working with clients and team members, ensuring clear and effective communication.
  • Education and Experience: Hold a 2-year degree in a financial planning-related field (business, tax, finance, or accounting) or equivalent work experience, with a minimum of 3 years of experience in a Wealth Management, Tax, or Financial Services-related industry.
  • Attention to Detail: Demonstrate strong attention to detail, accuracy, and problem-solving skills, ensuring high-quality work and compliance.
  • Compliance Record: Maintain an acceptable compliance record in prior positions.
  • Technical Skills: Possess high proficiency in Microsoft Office suite, including Outlook, Excel, and PowerPoint.
Preferred Qualifications
  • Financial Planning Software: Experience with Schwab Institutional, Microsoft Dynamics CRM, Black Diamond, and eMoney Advisor or other financial planning software tools.
  • Investment Knowledge: Basic knowledge of investments and financial markets.
  • Advanced Microsoft Office: Advanced experience with Microsoft Office, including Excel, PowerPoint, and Word.
  • Client Service Skills: Demonstrated client service skills, with a focus on delivering exceptional client experiences.
  • Mathematical and Analytical Skills: Strong mathematical and analytical skills, with the ability to analyze complex data and provide insights.
  • Organizational Skills: Excellent organizational skills, with the ability to prioritize multiple tasks, projects, and assignments.
