Position Overview:

We are in search of a meticulous and motivated Financial Records Specialist. This role is essential for performing a variety of accounting, bookkeeping, and administrative tasks that involve the preparation, upkeep, and processing of financial records and transactions. You will collaborate closely with our Retail Operations and Management teams, vendors, and financial institutions to ensure the accuracy of financial documentation and support daily operational needs.

Key Responsibilities:

  • Transaction Management: Update accounting software with all financial transactions, ensuring accurate entry and categorization of journal entries from various sources.
  • Data Analysis: Conduct independent analysis of financial data and processes, drawing informed conclusions and implementing solutions. Work alongside store managers and operations staff as necessary.
  • Reconciliation Duties: Perform daily reconciliations of bank accounts, manage credit card reconciliations, and verify the accuracy of financial transactions.
  • Financial Reporting: Maintain comprehensive financial statements, including Profit & Loss, Balance Sheet, and Cash Flow reports.
  • Billing Management: Input daily and upcoming bills into accounting software, manage the filing system, and retrieve invoices and payment schedules from vendor platforms.
  • Financial Forecasting: Prepare and analyze monthly financial forecasts, identifying trends and key indicators to assist in budgeting and strategic planning.
  • Regulatory Compliance: Ensure timely submission of necessary financial documentation to relevant organizations.
  • Communication: Manage correspondence related to accounting and administrative tasks, ensuring prompt responses and follow-ups.
  • Data Provisioning: Supply requested financial data for audits and reporting requirements.
  • Monthly Closing: Generate and distribute month-end financial reports, completing all necessary reconciliation processes.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or a related discipline.
  • A minimum of 2 years of experience in accounting or similar roles.
  • Proficiency in accounting software, particularly QuickBooks, and the MS Office suite.
