Position Overview:

The Healthcare Access Coordinator plays a vital role within the Patient Access Department, ensuring the efficient and accurate collection of patient information, insurance verification, co-payment processing, and securing necessary consents. This position emphasizes the commitment to outstanding customer service that Weeks Medical Center upholds. The coordinator is also responsible for adhering to relevant legal standards, including confidentiality and patient rights, while completing additional tasks as directed by management.

Key Responsibilities:
  • Serve as the primary point of contact for all patients entering the department.
  • Exhibit exceptional customer service skills, addressing the needs of patients, families, visitors, and colleagues.
  • Facilitate patient check-in and check-out processes, providing visit summaries and appointment cards as needed.
  • Input and verify essential data in the electronic medical record system, ensuring accuracy in demographic and insurance details.
  • Review medical orders for precision and completeness as required.
  • Manage patient status updates on the ED Tracking board, monitoring for active orders.
  • Execute status changes for patients based on ADT orders in designated areas.
  • Utilize AccuReg software to confirm insurance coverage and registration accuracy, making necessary adjustments and notifying relevant departments.
  • Collect and witness signatures on consent forms and other essential documentation.
  • Scan insurance cards and relevant documents for the medical record.
  • Refer potential payment issues to the appropriate financial counselor.
  • Collect payments for services or co-payments from patients, adhering to EMTALA regulations.
  • Reconcile cash drawer transactions.
  • Attach referral and ARM documentation to appointments as necessary.
  • Handle all incoming calls to the department, including paging responsibilities for hospital staff.
  • Monitor alarms and security systems, utilizing emergency codes as required.
  • Proactively engage in productive activities during slower periods, such as organizing and reviewing registrations for accuracy.
  • Perform additional duties as assigned.
  • Uphold the facility's values, service excellence, and standards of quality.
Qualifications: A High School Diploma or equivalent is required. Strong communication and customer service skills with a friendly, articulate speaking voice are essential. Candidates should possess good organizational abilities and the capacity to prioritize tasks effectively. A minimum of one year of experience in a hospital or healthcare registration or business office setting is preferred. Familiarity with relevant software applications and knowledge of medical terminology and insurance processes are advantageous.
