Job Summary

We are seeking a skilled Care Services Scheduling Coordinator who shares our passion for creating meaningful connections and is ready to play a vital role in our Team. This position requires strong organizational skills, attention to detail, and excellent communication abilities to ensure seamless scheduling coordination.

Key Responsibilities:
  • Schedule Coordination: Match Care Partners with Clients based on individual needs and preferences, utilizing experience with AxisCare/WellSky (training will be provided)
  • Primary Point of Contact: Serve as the main point of contact for Care Partners, Clients, and their family members, ensuring prompt and effective communication
  • Collaboration: Work closely with the Care Team, Client/Authorized Agent, and Case Managers to provide Premium Customer Care
  • Staff Management: Assist with recruiting, hiring, orientation, training, and managing new staff as needed, in partnership with RN and Executive Director of Care Services
  • Record Keeping: Maintain accurate records of Client schedules and Caregiver assignments within the scheduling platform
  • Documentation: Manage documentation of all interactions with Clients/Authorized Agents and Care Partners within the platform, ensuring consistent messaging and support
  • Problem-Solving: Apply critical thinking and problem-solving skills to resolve scheduling conflicts and staffing shortages
  • Performance Monitoring: Monitor Caregiver performance and gather feedback from Clients to ensure high levels of Customer Satisfaction
  • Process Improvement: Identify areas for improvement in scheduling processes and implement effective solutions within the department
  • Financial Support: Collaborate with Payroll and Billing Departments on issues related to Caregiver pay or Client billing concerns
Requirements

To succeed in this role, you should possess the following qualifications:

  • A High School diploma or equivalent; College degree preferred but not required
  • Minimum one year experience in Scheduling or Office Management, preferably within the Home Care Industry
  • An upbeat and energetic personality, ready to help at a moment's notice
  • Highly organized with exceptional attention to detail
  • Excellent communication skills, both written and oral
  • Strong problem-solving abilities along with organized time management skills
  • Comfortable using Microsoft Office products and other computer programs
  • Knowledge of Home Care Regulations, Hospice, and Care Management is a plus
  • Highly Preferred: CNA, HHA, PCA, LPN license/certification
Working Conditions

This position involves working primarily in an office-based setting within our Home Care Agency office suite located in Herndon, VA. Occasional visits to Clients' homes and Healthcare Facilities are required in and around the NOVA area. Periodically, work-from-home opportunities may be available at the Executive Director's discretion. On-Call evenings and weekends are required on rotation to ensure all Care Partner shifts are intact at all times. Travel within the local area for meetings outside of the main office may be required.

Estimated Salary Range

$45,000 - $55,000 per year, depending on experience and qualifications.
