Job Overview

POSITION SUMMARY

The Return Item Processing Expert plays a crucial role in managing Return Item Processing and Unposted Item Repair for DDA and Savings Accounts. This position involves analyzing Stop Payment Suspect reports, overseeing large item logs, and daily chargebacks, while ensuring the balancing of Proof Suspense General Ledger accounts. The individual in this role is considered essential personnel, necessitating their presence in the office or access via VPN during adverse weather conditions or emergencies.

KEY RESPONSIBILITIES

  • Handle Return Items and Unposted Items, including Unauthorized Returns and Federal Returns.
  • Manage charged-back items, maintain a log for large item returns, and execute special instructions for chargebacks, while reviewing and returning Stop Payment Suspects as directed.
  • Process ACH Reclamations received from the U.S. Treasury.

Oversee ACH Origination Returns by adjusting the settlement account and notifying customers through fax or email.

  • Handle ACH unauthorized and revoked items received from branches via Centrix for return through Fedline/FIS.
  • Balance General Ledger Accounts: FED Returns clearing GL; DDA/Savings Unposted GL; Special Handling GL; Proof Suspense GL.
  • Review and amend ACH Exceptions for account numbers or types in the GUI, and send ACH FED and NFED Notifications of Change (NOCs).
  • Verify CO ID numbers and address missing customer notices for all new stop payments. Receive Stop Pay Release Forms with customer signatures authorizing the bank to lift the stop payment.
  • Update and maintain ACH Customer Contact information for both existing and new ACH Originators.
  • Support branches and branch support teams with inquiries related to ACH, NOCs, ACH Returns, Reclamations, and teller outages.
  • Monitor Customer Positive Pay accounts through the First Bank Positive Pay platform, returning or correcting items as requested after the daily cutoff.
  • Address teller cash outages on the TLRCASHD report uploaded daily. Balance combined branches' Currency and Coin General Ledger accounts with Over/Short reports.
  • Post daily proof correction spreadsheets on the internal network.
  • Assist branches with questions regarding proof corrections.
  • As essential personnel, be prepared to work in the office or access via VPN during inclement weather or emergencies, as outlined in the Bank's Business Continuity Plan.
  • Log tickets or contact vendors as necessary (FIS/Horizon, Charge-Back Manager, other financial institutions, etc.).
  • Complete annual compliance training.
  • Adhere to all corporate policies and procedures, as well as Federal and State regulations, including the Bank Secrecy Act and the Anti-Money Laundering Act.
  • Maintain high standards of Service Excellence.
  • Perform additional duties as required.

QUALIFICATIONS

Knowledge & Experience: The following specifications are general guidelines based on the minimum experience typically deemed essential for satisfactory performance in this role. Individual capabilities may lead to some variations from these guidelines.

  • High school diploma or equivalent (GED); or a combination of education and experience.
  • Experience in a business environment is preferred.
  • Educational background through in-house training, formal schooling, or financial industry-related curriculum is advantageous.
  • Intermediate understanding of banking operations and relevant policies and procedures.
  • Strong organizational and time management skills with the ability to work independently.
  • Intermediate proficiency in computer systems, including mainframe, word processing, spreadsheets, and specialized software.
  • Exceptional verbal, written, and interpersonal communication skills, with the ability to follow instructions and guide personnel effectively.

WORK ENVIRONMENT: The role requires vision, hearing, speech, dexterity, and visual concentration. A valid driver's license is necessary. The ability to stand, walk, sit, and use hands and fingers is essential. The work environment is a professional office equipped with standard office technology.
