Medical Records Coordinator

The Central Supply and Medical Records Coordinator plays a crucial role in ensuring the efficient management of medical supplies and accurate maintenance of resident clinical records. This position requires a Certified Medication Aide (CMA) license, as the coordinator will also be responsible for administering medications as needed.
Primary Responsibilities:Central Supply Management:- Maintain inventory for Medicare A and B supply closets, satellite supply closets, and the main supply closet; resupply as needed.
- Unpack, check, and report discrepancies in supplies upon receipt, and ensure First In, First Out (FIFO) stock rotation.
- Retrieve, fill, and deliver requisitions from department heads, and handle the return or shipment of supplies.
- Manage and maintain monthly budget for supplies and prepare Part B billing to Concept billing.
- Remove, document, and package expired items for shipment or donation.
- Maintain and update residents' clinical records daily, ensuring compliance with OBRA guidelines, Texas State Standards, and facility policies.
- File documents, enter new admissions and discharges in the Admission/Discharge Log, and maintain tracking logs for essential records.
- Communicate with the Administrator, Director of Nursing, and Medical Director regarding physician compliance.
- Prepare monthly compliance letters, maintain the Death Report, and audit records for new, re-admitted, and discharged residents.
- Order and maintain nursing department office supplies/forms, update forms as required, and manage the destruction and storage of closed records.
- Prepare, administer, and document prescribed medications in accordance with state regulations and facility protocols.
- Observe and report reactions and side effects to medications, and take vital signs prior to administering medications when necessary.
- Ensure accurate documentation of administered medications in the resident's medication administration record (MAR).
- Assist with resident care tasks such as bathing, feeding, and dressing as needed, and support the cleanliness of the nursing and supply rooms.
- High School Diploma or GED required.
- Must hold a valid Certified Medication Aide (CMA) license.
- Must hold a valid Certified Nurse Aide (CNA) license.
- Previous experience in inventory control and medical records management preferred.
- Proficiency in using Electronic Inventory Systems and basic computer skills.
- Ability to read, write, and communicate effectively in English.
This position may require working in various areas of the facility and assisting with duties outside the primary responsibilities as needed.
