Job Summary:

The AR Manager will oversee the activities of the Billing and Collections department for a well-established construction company. This high-volume position involves managing approximately 3,000 to 4,000 invoices on a monthly basis, spread across multiple divisions.

Key Responsibilities:

  • Manage the AR team members responsible for billing and collections, and prepare reports as requested.
  • Oversee the preparation and accuracy of client invoicing.
  • Coordinate training programs for new staff and identify training needs for current staff.
  • Ensure timely completion and delivery of customer invoicing.
  • Conduct audits as needed, or as requested by division managers, accounting manager, or CFO.
  • Oversee the collection process, reviewing AR aging frequently to ensure payments are up to date.
  • Research customer discrepancies and past-due amounts, assign collections to appropriate team members to ensure prompt collection of payment.
  • Make appropriate decisions on account activity consistent with approved authority levels.
  • Escalate unresolved issues appropriately, quickly and recommend solutions to minimize future problems.
  • Prepare reports and root cause analysis to keep Controller apprised of results and opportunities to decrease outstanding accounts receivable.

Secondary Responsibilities:

  • Collaborate with other department managers as needed.
  • Maintain and update customer account files in required software, adding new clients and updating current client information.
  • Process contracts, lien waivers, and insurance certificates.
  • Ensure AR staff is issuing credit/debit memos per company policy and guidelines.
  • Ensure compliance with local, state, and federal government requirements.
  • Assist with additional duties and special projects as assigned by the Accounting Manager.
  • Perform other related duties as necessary or assigned.

Measures of Success:

  • Maintain past due invoices at no more than 3 DSO.
  • Maintain a stable billing and collections staff.
  • Maintain an error rate for invoicing that is very low (rate TBD), and resolve errors immediately with the assistance of the division manager(s).

Required Skills/Abilities:

  • Previous AR management experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Office Suite or similar software.
  • Previous use of a large-scope ERP system.

Education and Experience:

  • 4+ years of related experience required.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
