Purpose:

The Construction Project Coordinator (CPC) is tasked with the comprehensive oversight and strategic direction of various construction initiatives (including planning, budgeting, scheduling, organizing, and managing assigned projects).

The CPC is expected to maintain ongoing communication with project stakeholders and supervise the construction and financial operations to ensure successful project completion.

This role may involve on-site management for large-scale, intricate projects. The CPC should exemplify leadership and uphold the mission and core values of R.C. Construction Company.

ESSENTIAL JOB FUNCTIONS:

Establish and maintain communication with clients and other stakeholders to facilitate project progress.


Guide and mentor Project Managers while collaborating with Directors, Superintendents, and Foremen to plan, organize, and direct activities related to construction projects.

Lead and/or assist in estimating prospective projects.

Define project objectives, policies, procedures, and performance standards within the framework of company policies and contractual specifications.

Engage with supervisors and foremen to address work procedures, grievances, and construction-related matters.

Oversee and manage project execution through administrative direction of on-site foremen to ensure timely project completion.

Investigate significant issues and implement corrective measures as necessary.

Represent the company in project meetings and participate in strategic discussions.


Collaborate with contract administrators to manage the financial aspects of contracts, safeguarding the company's interests while fostering positive relationships.

Procure necessary supplies and materials for project completion.

Interpret and clarify plans and contract terms to administrative staff and project workers.

Update project reports detailing work progress, costs, and scheduling.

Coordinate with field operations to allocate workers to construction sites.

Proactively cultivate relationships with subcontractors.

Possess a comprehensive understanding of contractual agreements with clients, vendors, and other essential personnel.

Ensure that each project is managed to optimize customer satisfaction.

Guarantee adherence to the project quality control plan.

Ensure the completion of a punch list to the client's satisfaction.

Submit project change orders to clients.

Complete cost reports within the designated timeframe.

Ensure compliance with job processes according to company policy.

Proactively monitor project progress through updated schedules.

Assist project staff in resolving scope-related issues with subcontractors.

Review and confirm that the safety plan is established prior to commencing work on the project.

Ensure that field staff adheres to the safety plan.

Submit projects for industry recognition as appropriate.

WEEKLY TASKS
A weekly on-site meeting with supervisory personnel will be conducted every week at the job site. This meeting will include all superintendents, quality control, and safety personnel.

At a minimum, the meeting will cover Quality Control (including submittal register review), Safety, Schedule Updates (typically in a 3-week look ahead), and Changes/Issues/Concerns.

Internal and Client project meetings should be distinct. Primary subcontractors should be invited to internal update meetings.

2/3/4 Week Look Ahead


A Look Ahead schedule, after evaluation and discussion with field personnel and consideration of the overall job site schedule, will be produced weekly.

This document will primarily derive from smart sheet and will be updated and published before the Project Update Meeting. Allow Senior CPC to access this look ahead and review.

Invoice Review and Approval

Completed in Timberscan weekly and finalized every Wednesday by COB. It is the preferred practice to review and approve invoices daily. Proper coding and notes are expected to accompany invoices.

HCSS Review and Approval

Completed throughout the week and finalized on Monday of every week.

MONTHLY TASKS
Project Update Meeting (Senior CPC)

Monthly project update meetings will be held with Senior CPC or other supervisory staff. The meeting will include the following agenda items.

Quality Control - upcoming preparatory meetings, submittal register review, issues, concerns, and RFIs.

Safety - any safety concerns or issues on-site.

Schedule review - Full project schedule review, with an up-to-date full project schedule and look ahead


Issues, Change Orders, and Concerns - Discuss any upcoming potential or ongoing changes to the contract and any other miscellaneous concerns that are pertinent.

Financial review - Full financial review with completed Cost to Complete Excel and Profit and Loss statements.

Financial reviews are to be sent to Senior CPC before the meeting for review or updated in a shared folder.


Information and decisions made during this meeting regarding all areas are to be reviewed with on-site supervisory personnel, including financial and schedule.

Pay Applications

Pay applications are to be sent to either the customer or the GC monthly and on time.

Schedule Update Meeting

CPC/APMs are to have a full schedule update meeting with whoever is managing the scheduling on the job. Job Superintendents should be invited to attend this meeting and be involved. This will be to update the schedule for the entire project, from start to finish. Senior CPCs are to be invited to attend this meeting. Any schedule slippage greater than 30 days needs to be reported to the Senior CPC immediately. Results of this meeting will inform the Project Update Meeting with the Senior CPC.

Financial Cost to Complete and Profit and Loss Analysis


Cost to Complete Excel documents are to be updated in the shared folder by the 11th of every month for data entry.

A comprehensive analysis of all cost codes should be conducted and feed into the P&L.

All financials in Excel will be vetted against a hard copy "Cost Spreadsheet" in Sage to ensure accuracy and completeness.

These documents are to be thoroughly reviewed in the Project Update Meetings with Senior CPC.

PRE
CONSTRUCTION EXPECTATIONS

Buyout Meeting with Pre-construction


A pre-construction buyout meeting to review original estimates, subcontractors, and determine the plan of action for contracting should be held with the Pre-Con team, Project Management team, and Project Assistant.

Contracting

All contracts for the project are to be reviewed by Senior CPC. Contracts and Purchase Orders for the project should be completed BEFORE the start of construction.

Submittal Register Review with Dates

Complete a full submittal register review with QC and pertinent supervisory personnel. Create a schedule with final dates that submittals will be completed. Adhere to the dates

Hold a Pre-Con Meeting with Primary Subcontractors and Stakeholders

Hold a meeting once contracting and initial schedule are set to review the entire project with subcontractors. The size and complexity of the project will dictate the need for this.

Plans and Specifications

Thoroughly review the plans and specifications of your project.

You are expected to know the plans and specifications better than anyone else on the job site, including the QC and the customer.


CONSTRUCTION EXPECTATIONS
Manage the project daily alongside the Superintendent. Stay involved and aware of field activities. Manage, code, and sign Purchase Orders.

Conduct regular inventories of supplies and ensure materials and equipment are available or arranged for upcoming activities.

Assist in resolving on-site issues and disputes with Superintendents, QC, Safety, subcontractors, clients, and owners.

Coordinate, meet, and guide subcontractors and R.C. Construction supervisors and teams.

Regularly coordinate with Project Administrators.

You are expected to assist your superintendent with any necessary tasks, particularly project staffing.

It is also your responsibility to assess if a project is adequately staffed or if adjustments (additions and subtractions) need to be made.

Always be helpful; "That is not my job" should never be in your vocabulary.

The Construction Project Coordinator is accountable for everything that occurs or does not occur on a project.

MISCELLANEOUS TASKS
Modifications and Modification Negotiations

All modifications (Change Orders) will be reviewed by Senior CPC and upper management. Negotiations are the responsibility of the CPC or SPM.

Once changes are fully negotiated, CPCs are to input changes in Procore and Sage, followed by a final review by the SPM.


Do not make any concessions or "horse trades" to the contract without the SPM being informed and fully updated.

Onsite Disputes and Conflict Resolutions

These may involve clients, subcontractors, or employees of R.C. At all times, your role is to maintain professionalism and prioritize the project's success.

Never lose your composure.



Coordinating and Scheduling Subcontractors

While Superintendents may assist with this, it is ultimately the CPC's responsibility.

Continuous review with QC and Safety personnel is necessary to schedule preparatory meetings and review AHA's.

This is partly why look-ahead and weekly update meetings are so critical.

EDUCATION AND OTHER REQUIREMENTS:
Possess a Bachelor's Degree with a concentration in Business, Construction, Engineering, or Architecture

Must possess a minimum of 10 years of construction management experience or comparable skills in a related field

Excellent written and verbal communication skills

Must be proficient in Microsoft Office products

Experience with Primavera, Procore, Sage Accounting, RMS, and Smartsheet are added benefits

Self-motivated and punctual

Ability to manage multiple tasks and demonstrate excellent follow-up skills both internally and externally
