POSITION SUMMARY

The Trust Associate is responsible for processing and reconciling intricate transactions for designated system applications while executing essential administrative tasks to support the department. This role serves as a primary contact for complex research inquiries and offers workflow assistance.

KEY RESPONSIBILITIES:

  • Perform various duties as assigned, which may include any or all of the following tasks to ensure timely and accurate completion of departmental responsibilities.
  • Support Trust Department Officers with daily administrative and clerical tasks.
  • Accurately input data to establish client electronic files.
  • Assist in the initiation, closure, and maintenance of accounts.
  • Review documentation for completeness, accuracy, and appropriate authorizations.
  • Coordinate and oversee financial transactions, including receipts, disbursements, account activities, and wire transfers.
  • Generate and distribute Trust checks.
  • Conduct data entry and reconcile transactions within various Trust processing systems to facilitate wires, ACH, deposit accounts, and general ledger activities.
  • Deliver high-quality support to Trust Officers and clients.
  • Examine and summarize Trust/Estate documents, preparing necessary paperwork for annual accountings, inventories, and other required documentation.
  • Address inquiries from both internal and external customers.
  • Assist with federal and state tax submissions.
  • Provide general departmental assistance, including photocopying, scanning, faxing, and daily filing.
  • Ensure excellent customer service by managing phone calls and welcoming Trust clients.
  • Handle incoming and outgoing mail, including postage and sorting.
  • Engage in ongoing training and education related to fiduciary responsibilities, Trust administration, and investment services.
  • Document minutes for Trust Investment Committee (TIC) and Trust Administrative Committee (TAC) meetings.
  • Responsible for e-filing TIC and TAC agendas and minutes.
  • Research legal matters concerning trusts, estates, and retirement plans.
  • Comply with all internal and external regulatory standards, guidelines, policies, and procedures.
  • Perform any additional duties as necessary to meet departmental and organizational objectives.

SUPERVISORY ROLE:

This position does not include supervisory responsibilities, but the associate may provide guidance and training to new hires and less experienced personnel.

EDUCATION, EXPERIENCE & SKILLS REQUIRED:

  • Associate degree is required; a degree in Business, Finance, or Accounting is preferred, or equivalent work experience.
  • A minimum of 2 years of experience in banking or a related field is strongly preferred.
  • Prior experience as a paralegal is advantageous.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Exceptional customer service and communication skills.
  • Strong organizational and time management abilities.
  • Capability to prioritize and manage multiple responsibilities.
  • Meticulous attention to detail.

MENTAL & PHYSICAL REQUIREMENTS:

  • Ability to work on-site with a standard schedule of 40 hours per week, Monday through Friday. Overtime or extended hours may occasionally be necessary.
  • Willingness to travel as required to fulfill essential job functions.
  • Ability to work under pressure and meet deadlines.
  • Proficient in operating relevant equipment to perform essential job functions.
  • Ability to read and interpret documents as necessary for job functions.
  • Ability to lift/move/carry approximately 15 pounds, if required for job functions. If unable to meet this requirement, accommodations will be made as long as it does not impose an undue hardship on the department/division.
