JOB SUMMARY

The Transportation/Fleet Manager coordinates and directs the transportation of goods and/or people, ensuring timely delivery and cost-effectiveness in a manner that ensures safety and efficiency in all transportation activities. The Transportation Manager runs and organizes daily operations and budgets for the transportation network, including safety, compliance, equipment, identifying vehicles, drivers and scheduling all transportation needs for the College. This position works within a general outline of work to be performed and develops work methods and sequences under general supervision of the Vice President of Finance and Administration.

Qualifications

ESSENTIAL JOB FUNCTIONS:

  • Arranges all substitutes and stand-by drivers or may drive a bus to cover absences for the purpose of providing adequate coverage to meet transportation needs of the students, faculty, and staff.
  • Participates in meetings, workshops and seminars for the purpose of conveying and/or gathering information required to perform functions.
  • Responds to emergencies including after-hours situations for the purpose of addressing immediate safety concerns.
  • Maintains detailed records of all vehicle maintenance and schedules service for all vehicles as needed.
  • Monitors and tracks the performance and status of each part of the transportation process (i.e. budget compliance, scheduling, safety, quality, staffing and customer service).
  • Partners with internal and external stakeholders to meet all transportation needs as well to manage the sakes if unused capacity through contracting services with other parties.
  • Oversees transportation costs, service level agreements & performance reports to identify and resolve problems and achieve maximum efficiency.
  • Manages relationships with outside transportation providers to ensure that required service levels have been met.
  • Supervises assigned drivers in the day-to-day execution of their jobs and ensures required licenses and certifications are kept up to date.
  • Maintains and transmits accurate and thorough records including staff listings, incident reports, fuel use logs, travel logs, vehicle registration, manuals, procedures, and safety practices.
  • Completes safety inspections on every vehicle prior to each trip or transportation assignment.
  • Develops transportation strategies for projects and departmental milestones/goals which adhere to approved budgets and align with the college's objectives and mission.
  • Optimizes the transportation process by conducting regular audits and evaluations of the transportation systems, identifying and eliminating waste, and identifying new ideas and technologies that can enhance the department's performance.
  • Accesses fleet conditions regularly and assigns vehicle repair and maintenance duties to appropriate staff or vendors.
  • Provides training and professional development opportunities for staff.
  • Retains accurate inventory for supplies, vehicles, and assets.
  • Performs other duties as assigned for the purpose of ensuring the efficient and effective functions in transportation management.
MINIMUM REQUIREMENTS TO PERFORM WORK:
  • Bachelor's degree in logistics, transportation, supply chain management or closely related field.
  • Must have three (3) years of experience which may be substituted for the education requirement.
  • Must possess and maintain a Class B and Class C Commercial Driver's License with P, S, and T Endorsements.
  • Must be able to work flexible hours which may include early/late hours, occasional weekends, and the ability to travel.
  • Must pass a background check.
  • Must be able to work in a fast-paced environment and adhere to deadlines.
  • Customer service training/background preferred.
  • Conflict resolution training/experience preferred.

  • Proficient in interpreting codes, laws, rules, regulations, and policies related to safety and specified job duties.
  • Demonstrated customer service skills.
  • Basic mechanical knowledge and skills.
  • Ability to establish and maintain effective working relationships with others; excellent interpersonal skills.
PHYSICAL DEMANDS:

Must be able to meet the physical demands of the position: brisk walking, extended periods of standing or sitting; occasional lifting, carrying pushing and/or pulling; some climbing and balancing; some stooping, kneeling, crouching, and/or crawling.

WORKING CONDITIONS:

Work environment may risk exposure to bright/dim light, dusts and pollen, extreme heat and/or cold, wet or humid conditions, extreme noise levels, in a hazard-free environment.
