JOB SUMMARY (overview of job): This position works directly with department leadership, therapists, patients, clinical staff, and physician offices to ensure patient access to skilled therapy services. The Patient Access Scheduler- Rehabilitation (the Scheduler) obtains necessary information for accurate and timely completion of authorization, registration, and scheduling of the patient upon receipt of a therapy referral. This position determines acuity of the patient and/or specialty skills required of the therapist to meet the patient’s needs based on diagnosis and reason for consultation. The Scheduler follows a triage process to determine the appropriate therapist and location for therapy. The Scheduler provides patients with basic instructions regarding preparation for visits, directions, arrival times, information to bring to the visit, expectations for payment, and other key information to ensure the patient’s success. This position communicates effectively across disciplines and departments to maintain professional relationships and ensure ongoing provider referrals. This position utilizes electronic healthcare information systems to accurately record and obtain information related to the patient’s scheduled appointments. This position maintains competency in use of the electronic medical record and system as it relates to authorization, registration, and scheduling features. The Scheduler assists in maintaining department productivity standards and a positive contribution margin by managing therapist schedules and limiting unfilled schedule gaps. The Scheduler represents the rehabilitation department and St. Peter’s Health in efforts to facilitate a positive patient experience and successful patient outcome. Additional duties as assigned to help improve department performance and meet safety standards.

KNOWLEDGE/EXPERIENCE: 1-2 years of Hospital admissions or physician’s office experience preferred or 1 plus years professional work experience required. Experience in customer service or scheduling departments in a healthcare setting highly preferred. Medical terminology preferred. Must possess interpersonal skills necessary to communicate effectively and efficiently in a courteous and considerate manner to maintain contact with St. Peters Health and St. Peter’s Medical Group and their customers. Impeccable personal honesty, integrity and confidentiality are essential.

EDUCATION: High school diploma, HiSET or GED required, some college preferred.

LICENSE/CERTIFICATION/REGISTRY: None.

Aptitudes: Demonstrated ability to communicate in a professional and courteous manner with all customers. Demonstrated ability to effectively complete assigned work while experiencing multiple interruptions. Demonstrated ability to manage complex and multiple tasks within assigned time period, remain flexible to workload demands, and work with a variety of personnel. Demonstrated ability to work independently with minimal direction, perform detailed assignments and compile information with accuracy. Ability to deal with multiple stressors, deadlines, and difficult situations while meeting patient’s needs and providing superior customer service to all. Ability to work as a team player.
