Job Summary

The Program Coordinator II is responsible for leading and optimizing data management infrastructure, ensuring the successful integration of advanced informatics and AI systems within the radiology department. This role involves overseeing key programmatic initiatives, including the AI metrics program and other programs involving research initiatives, and facilitating efficient communication and coordination through the SPARC platform. The position will also emphasize leadership and professionalism, playing a critical role in driving team success and supporting junior staff. This position operates with minimal supervision, ensuring the successful integration and optimization of AI-driven initiatives.

Major Duties and Responsibilities

1. Overseeing and Monitoring the AI Metrics Program (30%)
Coordinates the tracking and evaluation processes for research AI systems integrated within radiology operations. Duties includes:
  • Implementing and managing the AI metrics system to ensure a smooth transition.
  • Ensure compliance with all aspects of the AI metrics program and any other research AI tools that may be used.
  • Managing daily administrative activities, conducting assessments, and aligning program objectives with departmental goals.
  • Oversee policy and procedural updates to improve AI performance and support radiologist workload management.
  • Monitor and support research imaging and data quality between the Department of Radiology and Hollings Cancer Center.
  • Oversee developing various workshops and training through collaboration with members of the Radiology department and other applicable groups.
  • Develop and present reports to management regarding clinical trials with the AI metrics program.
  • Training others on AI metrics system.
  • Preparing detailed reports, providing program-related guidance, and contributing to resource allocation decisions.
2. Reviewing Radiology Reviews and Requests within SPARC (30%)
Manage and review all radiology requests and feedback submitted through the SPARC platform, collaborating closely with the Vice Chair for Innovation & Implementation. Duties include
  • Serving as a liaison between the Radiology department and the SPARC service center to facilitate communication, ensure compliance, and streamline workflow efficiency.
  • Collaborate with various stakeholders. Provide technical guidance to other stakeholders involved in the AI Metrics processes.
  • Work in conjunction with IT department and various stakeholders to troubleshoot any issues found within AI metrics system or associated workflows.
  • Process requests according to set timeframe, evaluate operational processes, implement adjustments to enhance responsiveness and maintain clear, consistent messaging to ensure effective collaboration between the Radiology department and other outside groups.
3. Enhancing Data and Informatics Processes (20%)
Oversee efforts to improve operational efficiency and ensure the effective delivery of program services. Coordinate the development and implementation of data quality control measures, enhance database management processes, and optimize data collection workflows. Duties include:
  • Uploading research scans, monitoring data throughout the AI Metrics system, providing quality assurance and improvement for the above-listed roles to identify trends, discrepancies, and inefficiencies, and initiating corrective actions to address these challenges.
  • Improve workflow application based on trends identified during quality assurance and improvement processes.
  • Perform data analysis and utilize various bioinformatic tools to monitor and clean data. Will be involved with integration and deployment of AI Metrics system.
  • Providing direction and training to staff on data management best practices, ensuring adherence to established informatics protocols, and maintaining compliance with departmental standards.
4. Administrative Operations (15%)

Oversight and assist department leadership by mentoring junior staff, offering direction on complex data management and informatics tasks, and delivering constructive feedback to support their growth and performance. This role involves
  • Participating in departmental committees and task forces, contributing to policy development, and supporting institutional decision-making processes.
  • Act as a liaison between faculty and staff to communicate service level needs and manage day-to-day issues as they arise.
  • Organize and lead team meetings, while acting as a liaison to sponsors, vendors, and institutional stakeholders.
  • Preparing and presenting reports to ensure timely updates and alignment with program objectives
5. Other Duties as Assigned (5%)
  • Plays a key role in strategic planning processes based on department, university, and facility missions.
  • Leads departmental improvement projects.
  • Any other duties are necessary to keep the department functioning smoothly and staying up to date with trends

Supervision

The Program Coordinator II will report to the program manager. While this position will have no direct subordinate responsibilities, they will be involved in training and working with more junior employees, such as Research Program Coordinator I.

Minimum Requirements: A bachelor's degree and two years relevant program experience.
