Essential Functions:
- Performs all typical tasks of an Office Associate III as described in the Office Associate III job description;
- Responsible for completion of complex administrative and technical assignments. A significant part of the job (>50%) is for tasks/processes completed entirely by the incumbent;
- Plays a significant role in office management and oversight for the unit/department and may assume sole responsibility for a major area of unit or division functioning;
- Responsible for project and/or process management that includes highly confidential and time-sensitive information, including financial and case-related information;
- Responsible for maintaining fiscal responsibilities of the unit/department;
- Prepares correspondence for the department and/or unit, responds to vendors, suppliers, and service providers, and provides the first line of problem-solving when issues arise;
- Answers phone calls, gathers information to provide a response, and resolves issues accordingly;
- Composes letters and memoranda independently;
- Creates bulk mailings using databases and mail merge features;
- Prepares agendas and other documentation for meetings, including meeting minutes.
- Prepares complex reports specific to unit/department;
- Collects, verifies, and enters complex unit/department-related information into database. Maintains database and keeps information current;
- Establishes and maintains files, frequently of a confidential and/or sensitive nature.
- Extensive knowledge of office terminology, procedures, and equipment, and of business arithmetic;
- Considerable knowledge of departmental functions, organization, and policies;
- Extensive knowledge of and intermediate to advanced proficiency in basic office software and departmental and state information systems and programs;
- Ability to occasionally perform complex mathematical and statistical calculations;
- Ability to maintain complex clerical records and prepare reports from records;
- Comprehensive knowledge of business English and spelling;
- Ability to establish and maintain effective working relationships with employees, government officials, and the general public;
- Ability to meet top-level officials and others with tact and diplomacy. Position requires broad knowledge of numerous department-specific programs and activities;
- Ability to effectively use office equipment, including computer, copier, postage meter, fax, printer, multiple-line phone, paper folder, laminator, projector, and scanner.
- High school diploma supplemented with related secretarial or clerical work experience; OR any equivalent combination of training and experience which provides the required knowledge, skills, and abilities;
- Workers in this position are required to drive and they must meet the eligibility requirements of the County's safe driver policy;
- The candidate may be subject to criminal history and central registry background checks.
- None.
- Workers must be willing to travel occasionally overnight and may be required to assist in managing emergency shelters for the public;
- Regular contacts made with individuals from other internal units, outside organizations, and the general public for purposes of exchanging information that requires some judgment or interpretation;
- Communication is usually cooperative in nature with infrequent conflicts resolved by higher authority;
- Administrative clerical work typically performed sitting in an office with occasional walking, light lifting of office items up to 30 pounds; and other limited physical activities.
This position is not eligible for remote work. All County staff must maintain residence within the Commonwealth of Virginia.
