As an Import and Export Coordinator, you will be responsible for efficiently managing both the importation and exportation of goods for our organization. This role plays a crucial part in ensuring the smooth flow of goods internationally, while adhering to all relevant laws, regulations, and documentation requirements. You will work closely with various departments, suppliers, and customers to oversee logistics, maintain accurate records, and ensure compliance with customs and trade regulations.

Responsibilities:

Import and Export Documentation:

  • Prepare and review all necessary import and export documentation, including invoices, packing lists, customs clearance forms, certificates of origin, and shipping labels.
  • Ensure compliance with international trade regulations, customs requirements, and documentation standards.

Shipment Coordination:

  • Coordinate and monitor the shipment of goods for both imports and exports to international destinations.
  • Collaborate with freight forwarders, carriers, and customs brokers to arrange transportation, clearance, and delivery.
  • Track and report shipment status to relevant stakeholders.

Compliance:

  • Stay up-to-date with changes in import and export laws, trade sanctions, and regulations to ensure full compliance.
  • Complete and manage import and export license applications when required, and maintain accurate records of permits.

Customer and Supplier Relations:

  • Communicate with international customers and suppliers regarding shipment details, logistics, and order statuses.
  • Address customer inquiries and resolve any issues related to imports and exports.

Inventory Management:

  • Collaborate with the inventory and procurement teams to plan for incoming and outgoing shipments, ensuring adequate stock levels.
  • Maintain accurate records of inventory, imports, and exports.

Cost Control:

  • Optimize shipping costs for both imports and exports while maintaining quality service.

Reporting:

  • Generate regular reports on import and export activities, including shipment schedules, costs, compliance metrics, and inventory status.

Quality Control:

  • Ensure that all imported and exported goods meet quality standards and are properly packaged for international transport.

Qualifications:

  • Bachelor's degree in business, logistics, international trade, or a related field (or equivalent experience).
  • Proven experience in coordinating both import and export activities or international logistics.
  • Strong knowledge of import and export regulations, customs procedures, and documentation requirements.
  • Proficiency in using import and export documentation software, as well as Microsoft Office applications.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with strong organizational skills.
  • Ability to work effectively in a fast-paced environment, multitask, and adapt to changing situations.
