University Business Administrators - Center for Global Engagement

Responsibilities

This position is responsible for the administrative, financial, and operational functions for the Center for Global Engagement (CGE) and serves as the Department Representative for the DSA Business Leadership Team.
  • Manages multiple budgets including E&G, auxiliary, vending, A&S, and Foundation. Prepares monthly and annual budget summaries and projections for the Director and other leadership upon request. Prepares annual budget in collaboration with the Director. Enters budget annually in university's budgeting software. Monitors, maintains, and reconciles all transactions in accordance with university guidelines. Advises department on appropriate use of funds and ensures staff follow all University policies and procedures regarding finance and administration. Keeps staff apprised of updates or changes.
  • Manages large auxiliary budgets. Prepares budget projections for each program cycle and completes rate analysis. Generates payroll reports to monitor and track salary charges to auxiliary accounts. Participates in budget planning meetings and ensures unit is following all university, stare, and federal laws, rules, and regulations. Prepares and submits rate methodology and UBIT reports in partnership with Department leadership. Completes monthly auxiliary billing.
  • Serves as Human Resources departmental representative for department. Enters personnel actions for all staff including recruitment and terminations. On-boards new full-time staff to office utilizing the policies and procedures manual. Verifies accuracy of HR Actives and Cost Center Reports, monitoring biweekly time entry to ensure time is entered and approved correctly and researching errors related to payroll and HR activities. Serves as FACET Representative.
  • Serves as Travel and Procurement representative for the department. Oversees procurement of goods and services on behalf of the department. Serves as the primary P-Card Proxy. Creates travel requests and expenses reports and assists with travel arrangements for staff and University guests. Trains staff on university travel system and policies. Manages scholarship funds and tracks disbursements to students. Prepares and processes contracts in consultation with FSU Contracts Team.
  • Inputs and monitors undergraduate tuition waiver disbursements. Supervises federal work study students. Serves as CGE Key Manager and CGE Property Custodian. Serves as CGE cCure Operator to update and assign security access for all CGE staff. Attends Division of Student Affairs and CGE events and assists with special projects as assigned.
Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)
