REPORTS TO: Executive Director of Human Resources and Operations
JOB GOAL: To work collaboratively with Human Resource and Business office to help coordinate matters essential to the effectiveness of the district and to help implement the strategic plan of the district
PERFORMANCE RESPONSIBILITIES:
This is not necessarily an exhaustive or all-inclusive list of responsibilities, skills, and duties associated with this position. The supervisor of this position may modify this list at any time it's deemed necessary.
- Maintain a high level of confidentiality in accordance with HIPAA and FERPA.
- Ability to work independently, prioritizing tasks to meet deadlines while maintaining a high level of accuracy.
- Assist Executive Director of Human Resources and Operations - phone calls, correspondence, calendar, and other duties as assigned.
- Assists with payroll-related tasks including keying employee transactions, processing paperwork and administering benefits for the district.
- Help establish and follow onboarding and offboarding protocols and procedures.
- Maintain files of all licensed and non-licensed staff, coordinate times and dates for interviews as needed, prepare packets for interview teams.
- Input and help manage vacancies on Recruit and Hire.
- Input information in Recruit and Hire, Perform, Records, eFinance and Professional Learning portions of TalentEd. Set up new employees in the payroll system, including deductions and benefits.
- Enter all changes to pay rates and positions in the payroll system. Including new hires and terminations.
- Administer substitute system for licensed staff. Manage substitute system, input data, and maintain list of substitutes for all levels.
- Coordinate and establish new personnel orientations (licensed, non-licensed, and substitutes). Orientations will be set on a specific date and time each week.
- Inventory for the Human Resources department done annually.
- Help answer and direct all calls into the Human Resource and Business Departments.
- Reservations for Human Resources meetings, travel, and recruitment established and confirmed.
- Track, maintain, organize, and prepare for the Service Awards ceremony conducted during Convocation at the start of each school year.
- Maintain Seaman Staff Development Plan. Ensure individual development points and plans are updated with current and accurate points. Distribute records and transcripts as requested and needed. Confirm activities, trouble-shoot questions, inquiries, salary movement, and license renewals.
- Organize and compile salary movement requests for licensed staff. Verify through worksheets and college transcripts to determine staff eligibility to move.
- Distribute all contracts at the beginning of the school year. Maintain an accurate and updated list for the Board of Education using TalentEd platform.
- Process all workman compensation claims and injury report follow-up.
- Maintain and ensure all personnel files are accurate and up to date.
- Coordinate Student Teacher placement in buildings.
- Schedule Interstate Studio yearly for all district pictures.
- Substitute Payroll - print monthly reports, calculate days worked and rate.
- Manage Sick Leave Sharing. Manage Sick Leave buy back.
- Manage annual leave for all Administration and Non-Licensed staff.
- Authentication of Teacher Licensure - upload to KSDE teacher professional development transcript and/or college transcript when they are renewing their teaching license.
- Organize and prepare Teacher of the Year Certificates.
- Monitor teacher licensure. Send teachers reminders monthly beginning at 6 months prior to expiration. Help complete licensure requests by uploading professional development transcript and college transcripts as needed to KSDE once a teacher has applied for renewal.
- Create a monthly list of new hires, resignations, retirements, and terminations for the Board of Education as part of the Human Resources report. Maintain payroll spreadsheets monthly for the documentation of annual information, analysis, and trends.
- Help with facilitation of identifying job fair opportunities, and managing job fair participation: registrations, booth arrangements, gathering materials, digital and hardcopy advertising, procurement of "swag" for the booth.
- Gather staff feedback and input for ongoing improvement re: new employee orientation, stay interviews, exit interviews, wellness activities, professional development opportunities, and equity activity opportunities
- Other duties as assigned to help with the Human Resources and Business departments.
TERMS OF EMPLOYMENT: Twelve Month year.
EVALUATION: Performance of this job will be evaluated annually by the Executive Director of Human Resources and Operations.
