Job Title: Administrative Specialist Job Description A leading Corporation is looking for a Administrative Specialist to join their team This role includes a large range of duties including but not limited to computer literacy tasks such as email communication with customers, creating invoices based on bills of lading, mailing invoices to customers, and creating orders for the warehouse. The role also involves using Excel for data entry, pivot tables, and V-lookup to support the General Manager with reporting and much more Responsibilities: Invoice Preparation and Submission: Prepare and submit invoices to clients in a timely and accurate manner, ensuring all required documentation is included. Payment Tracking: Monitor and track payments received, following up on overdue invoices and resolving any billing discrepancies. Project Coordination: Collaborate with project managers to understand project scope, budgets, and timelines to ensure accurate billing. Documentation Management: Maintain organized records of all billing and invoicing activities, including contracts, change orders, and payment schedules. Client Communication: Act as the primary point of contact for clients regarding billing inquiries, providing clear and professional communication. Reporting: Generate and distribute regular billing and financial reports to management, highlighting any issues or discrepancies. Compliance: Ensure all billing activities comply with company policies and industry regulations. Hard Skills 2+ years of billing experience Ability to communicate with customers professionally and computer literacy Microsoft Excel experience (Pivot Tables & V-Lookups) Bilingual (English & Spanish - Nice to have) Job Type This is a Contract to Hire position with a duration of 6 Month(s).
