Summary Description

Working primarily independently, the Spa Receptionist is responsible for welcoming members and guests into the Spa while exhibiting an enthusiastic and professional attitude. The Spa Receptionist is responsible for monitoring member & guest check-ins and charging for services and/or products as sold. This individual is always patient and courteous with an outgoing personality and has a unique ability to exercise good judgment while providing excellent customer service.

Duties / Responsibilities
  • Provides an exceptional level of professionalism and customer service - cultivates and maintains member/guest rapport throughout the process
  • Answers phones, makes thorough and accurate appointments for all service providers in the Spa Department
  • Ensures that all members and guests receive courteous, prompt and professional attention to all their spa needs
  • Ensures professional telephone etiquette and ensures that all front desk procedures are followed throughout the booking and handling of all customers
  • Properly handles cash and charge transactions - should be accurate and verified - includes transaction functions including daily cash drops
  • Ensures that all soiled laundry and related items are addressed and always ready
  • Adheres to all assigned schedules and helps to meet the demands of an active Spa
  • Develops and maintains a working knowledge of all spa services and product offerings - able to communicate and assist in bringing awareness to any marketing / promotional activities for The Spa at Woodside
  • Assists with any necessary coordination of activities for special events and or cross-departmental unique retail packaging arrangements
  • Promotes retail and sales through engagement with members, giving suggestions and providing knowledge on all products
  • Ensures the retail area of The Spa is always clean and staged in accordance with guidelines for maximum buyer impact
  • Assists in the maintenance of physical assets of the spa facilities and ensures that proper requirements and appropriate sanitation and safety standards are met for The Spa including health and city, state and federal regulations
  • Maintains open and consistent communication with the other staff as well as Spa + Retail Coordinator/Director of Spa + Retail
  • May at times be asked to support special events within Club
  • Maintains clean, organized and visually appealing areas in and around the spa
  • Complies with Club's employee handbook manual, departmental policies, and procedures and with all applicable federal and state employment laws
  • Attends all mandatory spa staff monthly meetings
  • All other duties as assigned
Qualifications

Job Standards

Any combination of education and experience providing the required skill and knowledge is qualifying. Typical qualifications would be equivalent to:

Education/Experience:
  • High School Diploma or GED is required
  • Associates' Degree, emphasis, in Hospitality preferred
  • Minimum of 2-5 years' experience in spa environment is preferred
  • Minimum of 21 years old
Skills:
  • Attentive to all members/guests - always working to ensure satisfaction
  • Motivated, able to remain calm under pressure and be assertive when necessary
  • Computer literate- proficient in MS Office, experience with Jonas is a plus
  • Excellent communication skills, both interpersonal and written
  • Strong writing skills, with the impact of influencing behavior
  • Excellent customer service skills and demonstrates creativity and diplomacy
  • Strong organizational skills
  • Ability to reason and problem solve without precedent
Knowledge:
  • Spa health and city, state and federal regulations are a plus
  • Strong English grammar and writing
  • Spa services and operational knowledge
Licenses:
  • Valid Driver's License - or reliable transportation to work
Special Requirements:
  • Excellent working relations with peers
  • Regular and predictable attendance is required
  • Attendance at training courses, seminars and conferences related to spa treatments as scheduled
  • Ability to move 20 pounds or more on a regular basis
  • Visual acuity for computer work
  • Ability to type on keyboard up to 60% of time
  • Ability to communicate verbally, fluent English
