Position Summary: The Intake Coordinator plays a crucial role in our patient care team by coordinating the intake process for new and existing patients. This position involves collaboration with administrative and clinical teams to ensure seamless patient experiences and robust provider relationships.

Key Responsibilities:

  • Patient Referrals: Receive, organize, and process new patient referrals efficiently.
  • Chart Management: Ensure patient charts are complete, updated, and accurate according to company protocols.
  • Information Requests: Handle release of information requests, including retrieving and transmitting medical records with precision and confidentiality.
  • Quality Assurance: Perform quality checks to ensure the accuracy and confidentiality of released information.
  • Customer Service: Provide exceptional customer service, addressing client concerns proactively.
  • Team Collaboration: Work collaboratively with all team members to achieve our goal of excellent patient care.
  • Regulatory Compliance: Stay updated on state laws and fee structures; ensure adherence to HIPAA, state/federal regulations, and labor laws.
  • Medical Records Management: Create and maintain accurate and secure medical records; code patients’ medical information for reimbursement purposes.
Qualifications:
  • High School Diploma (GED) required; undergraduate degree or equivalent experience preferred.
  • Minimum of 2 years experience in a medical records department or similar setting.
  • Strong working knowledge of Medicare policies and procedures.
  • Proficiency in Microsoft Word and Excel; experience with EMR systems.
  • Excellent organizational skills and attention to detail.
  • Ability to type 50 wpm and use office equipment like fax, copier, and scanner.
  • Self-motivated, team player with proven customer satisfaction skills.
  • Ability to multi-task in a fast-paced environment.
Compensation and Benefits:
  • Hourly pay range: $22-$27 (based on experience and expertise)
  • Annual cash bonus potential
