Purpose Statement

The job of Office Technician - Department/Program is done for the purpose/s of gathering all (ESS) data for State and Federal funds; providing clerical support and communication to staff and public; maintaining complete and accurate records; and providing information and/or direction as may be requested.
This job reports to Director of Exceptional Student Services
Essential Functions
  • Answers questions from internal and external parties (e.g. staf, parents, public agencies, etc.) for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
  • Assists with processing of documents, forms, and mailings (e.g. exceptional student tracking, etc.) for the purpose of disseminating information to appropriate parties.
  • Attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform functions.
  • Collects data (e.g. level of student services, tracking student movement, student data, etc.) for the purpose of preparing reports and/or processing forms.
  • Distributes reports as needed (e.g. 504 reports, health and vision, high school transfers, etc.) for the purpose of ensuring delivery to addressee.
  • Maintains manual and electronic documents files and records (e.g. letters, forms, reports, Synergy, IEP Pro, File Maker Pro, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • Prepares standardized documents for the purpose of communicating information to other parties.
  • Processes information for data entry (e.g. IEP, multiple education team reports, psychological evaluations, service reports, etc.) for the purpose of providing required information into the student management system.

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Skills, Knowledge and Abilities

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment; using pertinent software applications; preparing and maintaining accurate records; classifying data and/or information.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: concepts of grammar and punctuation; common office machines; and office methods and practices; business telephone etiquette; keyboarding; recordkeeping and record retention practices.

ABILITY is required to schedule activities; gather, collate, and/or classify data; and use job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined and similar processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with similar types of data; and utilize job-related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited to moderate. Specific ability based competencies required to satisfactorily perform the functions of the job include: establishing and maintaining effective working relationships; and working as part of a team; accuracy and attention to detail; maintaining confidentiality; meeting deadlines and schedules; communicating with persons of diverse backgrounds; working with frequent interruptions.

Responsibility
Responsibilities include: working under direct supervision using standardized routines; providing information and/or advising others; operating within a defined budget. utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization's services.

Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally the job requires 65% sitting, 25% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
