Primary Purpose:

The Technology Operations Assistant helps deliver and set up technology devices on our campuses. Working closely with campus technicians, this role involves assisting with installations and providing basic tech support. The assistant also handles secretarial tasks like scheduling, keeping inventory records, and other electronic systems. This job requires a detail-oriented person who can work well with others to support our technology needs.

Qualifications:
  • High school diploma or equivalent; additional education or training in logistics, administration, or related fields is a plus.
  • Proven experience in a similar role, preferably in an office or academic setting.
  • Strong organizational skills with the ability to prioritize tasks and manage time
  • Excellent communication and interpersonal skills for interacting with colleagues, vendors, and stakeholders.
  • Proficiency in basic computer applications such as Microsoft Office suite (Word, Excel, Outlook) and familiarity with database management systems.
  • Ability to handle physical tasks including lifting, moving, and transporting heavy objects
  • Attention to detail and accuracy in performing administrative tasks and maintaining records.
  • Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.
Major Responsibilities and Duties:
Logistics Management
  • Coordinate the delivery of devices, equipment, and supplies to different campuses or locations as
  • Conduct heavy lifting tasks to transport and distribute items safely and
  • Maintain inventory records, track stock levels, and reorder supplies as
  • Ensure proper storage and organization of equipment and supplies to optimize space utilization.
Administrative Support:
  • Assist in handling departmental correspondence, emails, and phone calls.
  • Schedule appointments, meetings, and events for department members.
  • Prepare and distribute documents, reports, and presentations as required.
  • Help maintain electronic and physical filing systems to ensure easy access to information.
Facility Management:
  • Monitor and report maintenance issues within the department's
  • Coordinate with maintenance staff or external vendors for repairs and upkeep.
  • Ensure cleanliness and orderliness in shared spaces such as conference rooms, offices, and storage
Project Assistance:
  • Support departmental projects by providing logistical assistance, gathering information, and organizing resources.
  • Assist in research tasks, data collection, and analysis as directed by supervisors.
  • Collaborate with team members to meet project deadlines and objectives
Compliance and Documentation:
  • Ensure compliance with organizational policies, procedures, and safety regulations.
  • Maintain accurate records of equipment transactions, expenditures, and other relevant documentation.
  • Assist in preparing reports and documentation for audits or compliance purposes.
Accounting:
  • Prepare, process, and track all purchase orders and payment authorizations.
  • Perform routine bookkeeping tasks, including simple arithmetic operations, to maintain department budget records.
  • Monitor and process personnel time records including leave requests and reports; complied with and submit to HR office.

Environment: Work is performed in an office setting; may require occasional irregular and/or prolonged hours
