We are currently looking for a full-time Documentation Coordinator to join our vibrant team. The ideal candidate will embody Ray-Mont's core values: Quality, Flexibility, Performance, Commitment, Attitude, and Innovation.

Duties and Responsibilities to be performed with or without reasonable accommodation

  • Combine and convert data from multiple sources - customer instructions, cargo data from our terminal operations and data from ocean shipping lines - into accurate negotiable and non-negotiable ocean bills of lading within internal and external deadlines
  • Create accurate US export declarations for customer shipments in strict compliance with US export regulations
  • Create original certificates of origin and other certificates as required by our customer
  • Answer customer questions about document status' in a time-sensitive manner
  • Contact customers proactively to advise them in advance of delays or corrections needed
  • Coordinate with our invoicing department
  • Track and trace export cargo from origin to destination
  • Maintain accurate record of document release dates relative to cargo shipping dates
  • Ensure accurate and timely communication is provided to customers
  • Other duties as assigned or required
Essential Qualifications
  • Ability to work under own initiative, as part of a team and with other teams

  • Possess strong aptitude for event date management and timeline of events
  • Demonstrated detail orientation and document proofing skills
  • Excellent written and verbal communication skills
  • Demonstrated customer service skills

  • Orientation towards cost-containment and risk-management
  • Aptitude for global geographic place names
  • Aptitude with English/Metric unit of measure conversions
  • Ability to quickly master proprietary software
  • Intermediate MS Office 365 skillset
  • Ability to quickly learn industry terminology
Desirable / Preferred Knowledge and Skills
  • Prior experience working international banking documentary credit department; or
  • Experience working in a freight forwarding / NVOCC organization or customs brokerage; or
  • Prior experience working in any import or export shipping environment
  • Prior experience working with SAP
  • Prior experience handling letters of credit
Work Schedule : Day shift - Monday to Friday
