POSITION SUMMARY:
Provide clerical support to assigned administrative personnel, including communicating information to staff, the public, and other districts, orienting personnel to their job requirements, coordinating work activities of office personnel, ensuring compliance with financial, legal, and administrative requirements, and providing information and/or direction as may be requested.
CONSIDERATIONS:
Bilingual English/Spanish preferred.
MINIMUM QUALIFICATIONS:
- High School Diploma or equivalent by OAR 581-37-030, Oregon Department of Education
- 18 years of age or older
- Three years of experience in general office work
ESSENTIAL REQUIREMENTS:
- Communicates effectively in English in both oral and written form.
- Communicates effectively in Spanish or Russian (if assigned) in both oral and written form.
- Understand and follow oral and written instructions
- Maintain confidentiality
- Possess knowledge of modern office methods, practices, procedures, basic computer word processing applications
- Ability to learn to use appropriate word processing and spreadsheet software to enter and retrieve information
- Ability to learn a number of school policies, rules, and procedures and apply them properly in the context of repetitive and new situations
- Maintain student and/or accounting records in an organized manner
- Ability to handle multiple tasks at the same time as well as tolerate constant interruptions
- Ability to use sound judgment in dealing with students, monitoring students with behavioral problems
- Ability to lead and direct others
- Performs a variety of clerical work in support of the administrator, including word processing, proofreading, filing, sorting and distributing mail, checking information on records, and accounting for monies received etc.
- Maintains and manages administrator's calendar
- Performs other routine office/clerical duties as assigned
- Answers telephones and takes messages, responds to inquiries, provides information about school operations and refers calls to appropriate staff members
- Operates basic office equipment (i.e., computers, printers, telephone, intercom, fax, copiers, calculator, etc.)
- Greets and directs office visitors, provides routine information, refers questions to appropriate staff
- Prepares mail, including parcels, for mailing or shipping delivery and receives and distributes shipments brought to the school office.
- Enters data in computer files, maintains student records and updated building inventory, and prepares basic statistical reports as assigned
- Responds to student inquiries and problems at the counter, attends to sick students and provides first aid assistance within scope of district policies
- Processes new student registrations and student withdrawals and assembles new student packets
- Monitors students in the office as needed
- Processes leave requests, substitute pay sheets, time sheets, bus requests, purchase orders, etc. as
assigned by the building principal - Oversees workload of office for the purpose of maximizing office efficiency and meeting work
requirements - Monitors assigned activities and tasks to ensure that they meet administrative expectations,
district requirements, program budgets, critical timelines, etc. - Coordinates development of reports and work schedules for the purpose of meeting deadlines,
and complying with district, state and federal guidelines. - Prepares and maintains a variety of moderately complex clerical records such as building usage,
student attendance, school lunch program, master schedule calendar, etc. - Maintains a high level of ethical behavior and confidentiality when dealing with student, staff
and parent information - Assists other office personnel as may be required for the purpose of supporting them in the
completion of their work. - Supervises students in lunchrooms, hallways and on the playground, as required

- Performs such other tasks as may seem to be appropriate to the Board or Administration.

- Follows all laws, District policies, rules, regulations, memos, announcements, and reasonable requests by proper authority.
- Maintains regular attendance at work and work activities, and is punctual in meeting deadlines, attending meetings, and following schedules.
OTHER REQUIRED:
- Criminal Justice Fingerprint Clearance
- The employee is expected to be dressed and groomed in a neat, clean, and appropriate professional manner for the assignment and work setting.
- This position is performed primarily indoors in school buildings and offices, although some outdoor work or supervision may be required.
- In cases in which the employee is required to travel between sites, the employee is responsible for his/her own travel and will be reimbursed for approval mileage.
- Possible exposure to bodily fluids due to student or employee illness or injury.
- May be required to obtain a First Aid and/or CPR Card or be a Designated First Aid Provider.
- Occasionally performs other duties as required by supervisor.
- Complete all District required trainings.

Daily work hours to be determined. Salary and benefits based on current District Salary Schedule and negotiated agreement.
