Responsible for providing administrative support to the Vice President of Medical Services. Responsible and accountable for the daily operations of the medical services department and palliative care services. Further responsibilities include assist with budget supervision and provider billing. Oversight of provider documentation, on-call/admissions schedules, and oversee physician and nurse practitioners’ visits. Assists with the compliance education, and continuing education programs for Treasure Coast Hospice.

Expectations

Provide program development strategies for Treasure Coast Hospice, in an organized, routine capacity that will enable the cohesion of team developments. Work collaboratively with other departments, demonstrate and encourage leadership for a comprehensive approach to program development. Inspire staff to live the Treasure Coast Hospice Mission, to achieve its Vision, and demonstrate our Values and Commitment. Be current in legal and compliance hospice issues.

Supervise credentialing of Physicians/Advanced Practitioner Registered Nurses (APRN’s) for Adult Living Facilities (ALF’s)/Skilled Nursing Facilities (SNF’s)/Hospitals. Utilize Electronic Medical Records (EMR) data system; dashboard widgets; KPI dashboards (for medical orders/Hospice indices/pain-symptom-assessments/patient satisfaction). Collaborate with Department of Education in the creation of Medical Services specific job aides.

Qualifications

  • Three to five years of experience in a medical office required.
  • Knowledge of medical terminology, insurance industry and federal and state regulations
  • Experience in billing and coding preferred.
  • Advanced computer knowledge.
  • Strong communication skills required.
  • Attendance is a condition of employment
Key Result Areas
  • Assures timely provider submissions of patient care documentation/dictation in accordance with policies and procedures.
  • Coordinates training for incoming physicians with electronic death records.
  • Coordinates and assists in coordinating patient visits and F2F visits.
  • Prepares and maintains timely internal submission of billing and payment records in accordance with policies and procedures. Ensures physicians’ compliance with billing rules and regulations.
  • Prepares and maintains scheduling for On-call, admissions, hospice house and palliative care coverage, according to scheduling guidelines.
  • Ensures appropriate fractioned credentialing. Supports credentialing function for all providers at hospitals and facilities.
  • Assist the physician in scheduling of physician’s education, conferences, hospice CME’s, and board exams.
  • Liaison to the physicians, administration, patient care and all departments and outside organizations to accomplish directives and to facilitate the resolution of problems.
  • Assist manager with physician training and competencies.
  • Assist with set up of ongoing training across all disciplines.
  • Prepares and maintains emergency preparedness plan for all Medical Service Staff.
  • Assist the VP of Medical Services in determining fiscal requirements and approve budgetary recommendations for the department.
  • In conjunction with the VP of Medical Services, directs and coordinates various personnel functions including, but not limited to, hiring, performance appraisals, transfers, and vacation schedules as well as coordinating the on-call schedule.
  • Assist in providing administrative direction and coordination of long and short term organizational structure to the Medical Services Department.
  • Prepares operational and financial reports and analyses for the VP of Medical Services setting forth progress, adverse trends, and appropriate recommendations or conclusions of the medical staff.
  • Assist with data entry and maintenance in CE Broker as required.
  • Assist with orientation, online learning and CE Broker.
  • Participate as an active supporter of the Treasure Coast Hospice compliance program, including an emphasis to report, as well as complying with all Federal, State and Local laws as well as the organization’s compliance program.
  • Fulfill all responsibilities related to the success of the strategic plan of the organization, as requested and assigned.
  • Responsible for upholding Treasure Coast Hospice/Model Standards for patient visits and compliant documentation.
  • Clearly understanding and adhering to each Standard.
  • Motivate and lead self with confidence, energy, and integrity.
  • Maintain a high level of urgency, customer consciousness and service excellence while upholding confidentiality.
OSHA Category

Position will be categorized as category III (involves no routine or potential exposure to blood, body fluids/tissues).

Working Conditions
  • Typing or otherwise working primarily with fingers rather than with the whole hand as in handling.
  • Sedentary – Exerting up to ten pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria met.
  • The work is required to have close visual acuity such as/preparing and analyzing data and figures; transcribing, viewing a computer terminal; extensive reading.

Incumbent may be required to perform emergency duty before, during and/or beyond normal work hours or days in the event of an emergency, crisis situation or disaster (man-made or natural) including evacuation sites. The person in the position will work in a smoke-free location, and is expected to adhere to all smoking restrictions.
