TEMP TO HIRE: HUMAN RESOURCES CLERK / RECEPTIONIST

SUMMARY:

We are looking for a professional and dependable individual to greet visitors and handle inquiries over the phone and face to face. The ideal candidate will be honest, punctual and have excellent attendance and outstanding customer service.

RESPONSIBILITIES:

  • Provide a positive and professional first impression of the company by displaying a professional and friendly demeanor, as well as maintaining a clean and organized reception desk and welcoming all visitors, vendors and government officials
  • Greet employees in a proactive and positive manner
  • Answer a multi-line phone and appropriately transfer calls
  • Manage multiple HR calendars and schedule various meetings for new employees, members of the HR Team and management
  • Inventory, order and prepare new hire materials in addition to taking new employee photos and uploading them into the HRIS System
  • Provide administrative support in HR and Office Services related tasks, such as data entry in the HRIS system and assign work order incident tickets.
  • Act as a point of contact in emergency situations and follow protocols
  • Coordinate work orders for new and terminated employees, which include the set up of office moves, take downs
  • Assist with various employee onboarding tasks, such as setting up new hire offices (including welcome bags), manage Posterguard enrollment, and create relocation folders
  • Perform other clerical duties such as filing, copying, faxing and scanning
  • Sort and meter company mail daily, this includes the processing FedEx packages, certified mail and remote employee’s mail.
  • Other duties as assigned
REQUIREMENTS:
  • At least 1 year of experience in customer service, reception, or administration
  • Possess the ability to:
    1. effectively interact with individuals at all levels of the organization and provide good customer service to internal and external customers
    2. multi-task and prioritize effectively
    3. maintain strict confidentiality
    4. handle constant interruptions and work under pressure
  • Highly reliable, detail-oriented and organized
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint & Outlook) is a plus
  • Proven success in a fast-paced, high pressure and team-oriented environment
  • Excellent oral and written communication skills as well as interpersonal skills
