Job Summary: As an Administrative Assistant for USA Insulation, you will be responsible for handling various administrative tasks and providing essential support to our insulation team. Your role will encompass office management, customer service, and maintaining accurate records. The ideal candidate will have excellent organizational and communication skills, a strong work ethic, and a commitment to delivering exceptional customer service.

Key Responsibilities:

Greet and assist clients and visitors in a professional and welcoming manner.

Answer and direct phone calls, emails, and inquiries to the appropriate team members.

Schedule appointments for insulation assessments and installations.

Coordinate with insulation professionals to ensure timely and efficient project scheduling.

Maintain an organized office environment, including ordering supplies and overseeing office maintenance.

Assist with the preparation of quotes, invoices, and service orders for insulation projects.

Record and organize customer information, job details, and service records.

Handle customer inquiries and provide information about our insulation services, pricing, and scheduling.

Collaborate with the insulation team to ensure efficient scheduling and project execution.

Adhere to safety guidelines and maintain a clean and organized workspace.

Assist with administrative tasks and projects as required to support the company's operations.

Requirements:

High school diploma or equivalent.

Proven experience as an administrative assistant or in a related role.

Strong organizational and time management skills.

Excellent communication and customer service skills.

Proficiency in using office software, including word processing, spreadsheets, and email.

Familiarity with office equipment and phone systems.

Attention to detail and the ability to maintain accurate records.

Ability to work both independently and as part of a team.
