Description

The Human Resources (HR) and Title IX and Civil Rights Compliance teams at the University of New England provide a variety of support systems and development opportunities helping to retain a talented workforce working to foster a productive environment. The HR Coordinator is an entry-level position and a key member of the team, serving as the primary point of contact for all external and internal visitors and callers at our Biddeford Campus

The HR Operations team centrally supports our professional staff, faculty, and students throughout the employee life cycle from a systems and communications perspective (pre-employment, new employee system set up, status changes, leave of absences, payroll, benefits enrollments and much, much more). This service-oriented team manages and maintains employee data/records accurately, timely, and efficiently and provides appropriate communication, information and materials related to their area of responsibility. This team is also responsible for the timely support of employee and leader information requests and follow up.

The Human Resources department works closely with the Finance and Administration (FA) division at the University. FA provides the operational support to the University, its units including but not limited to the Business Office, Student Financial Services, Campus Services, and Information Technology. Our interface with these departments is key to the smooth operations at the University supporting its mission to "prepare students to thrive in a rapidly-changing world, and, in doing so, to improve the health of people, communities and our planet."

Responsibilities
  • Manage efficient daily operations of the HR office and provide administrative support including but not limited to managing the front desk, phone, general HR email inbox, tracking and ordering supplies, sorting mail, submitting IT and facilities work orders and other office support duties.
  • Provides front-line HR support and superior customer service.
  • Partner with internal HR teams, Payroll, Recruiting, to resolve manager and employee questions within defined timelines
  • Oversee background check program for the university.
  • Schedules, greets and assists new hires (benefits eligible, students, and adjuncts) in completing the I-9 work authorization documents and other associated paperwork.
  • Work with various departments to streamline new hire process for those employees who are not included on the online system: adjuncts, temporary employees and student workers.
  • Provides administrative support Human Resources and Office of Title IX and Civil Rights Compliance including meeting coordination, and processing of invoices, departmental purchase cards and budget.
  • Maintain and create applicable standard operating procedures and proactively identify and address internal process improvement.
  • Assist with updates and modifications to website and social media accounts, as need.
  • Responsible for HR storage management.
  • Assist team with various special projects.
  • Confer regularly with immediate supervisor, other department and University personnel, and/or various individuals/organizations to plan and coordinate departmental activities, inter-office communications in order to exchange information, resolve problems, etc.
  • Perform other related duties as assigned.
Qualifications

Associate's Degree plus one to two years of relevant experience, or a combination of education and experience from which comparable knowledge and skills are acquired. Prior experience working in a human resources office preferred.
  • Ability to work under pressure, to adjust to constant changes and handle multiple tasks.
  • Ability and desire to grow and develop in a position.
  • Judgment, tact, and resourcefulness required.
  • Ability to maintain a high level of confidentiality.
  • Ability to work independently.
  • Knowledge of safe working procedures and security measures related to work performed.
  • Previous experience in office management and organizing and coordinating events preferred.
  • Proven experience troubleshooting and problem solving on the fly.
  • Ability to respond to a broad spectrum of questions regarding University policies, procedures, benefits, etc.
  • Basic comfort with learning and utilizing technology including databases and Microsoft Office suite, Canva and social media to perform necessary tasks and to automate processes as appropriate.
  • Ability to manage time and prioritize task completion is required.
  • Ability to meet deadlines with quality results often in situations of high urgency.
