Responsible for supporting the Counselors and the Counseling Department by responding to requests for information, training and supervising Peer Counselors and Teacher Aides, answering phones, collecting homework for absent students, coordinating college visits, organizing National Scholarship information, coordinating the Local Scholarship Program, creating a section for the newsletter, revising the Course Catalog and assisting with registration.

Roles and Responsibilites:

  1. Assist students, parents and staff with a variety of requests, including looking up schedules, locker combinations, passwords, etc.
  2. Train and supervise Peer Counselors and Teacher Aides in delivering passes, making copies and performing other office duties.
  3. Answer Counseling Department phones, take messages and forward messages and callers to the appropriate individuals.
  4. Maintain schedules for all counselors including making appointments for students and parents, writing passes for students to attend meetings, etc.
  5. Answer the school's main office phone.
  6. Collect homework from teachers for students with extended absences.
  7. Coordinate college visits to the school by scheduling/tracking the visits and publicizing the visits through posters, flyers and announcements.
  8. Organize and update National Scholarship information for student and parent review.
  9. Help coordinate the Local Scholarship Program by updating the contact information for sponsors, typing and mailing three to four mailings to sponsors, calling sponsors to follow-up and assisting with coordinating sponsor meetings and awards ceremony.
  10. Create the counseling section of the monthly school newsletter.
  11. Revise the high school Course Catalog.
  12. Assist with registration by helping to organize and distribute information to parents and students, making appointments and arranging tours of the school.
  13. Assisting the registrar, including but not limited to: helping assemble and mail the Fall registration packets to all returning and new SHS students during the summer; making new registration packets through out the year as necessary; copying transcripts for former and/or graduates from microfiche and/or files and mail; helping with mailings of progress report cards, test scores, etc.
  14. Deliver counseling passes and information to students and teachers as necessary.
  15. Distribute Access material to teachers; collect, compile, and report Access data to Administration.
  16. Back-up the clinic health para with medicine dispensing, data input, and scheduling appointments with the physician assistant and nurse practitioner.
  17. Back-up the Attendance Secretary
  18. Demonstrates the commitment to build and maintain a safe, fair and respectful working and learning environment that honors the cultural diversity of students and staff.
  19. Perform other duties as assigned.


Qualifications:
  • High school diploma or equivalent plus courses in keyboarding, office productivity applications and/or office skills
  • One or more years of experience in general office procedures, word processing and computer applications skills
  • Effective Communication Skills
