We are seeking a compassionate and dedicated Practice Manager to oversee the operations of our medical department within our animal shelter. As the Practice Manager, you will play a vital role in ensuring the well-being of animals in our care, managing a team of passionate individuals, and driving the success of our shelter's mission. Duties & Responsibilities                                                                                                                                

The Practice Manager will be responsible for managing and coordinating the daily activities of the medical department including, but not limited to:

  • Implement efficient and humane processes for the daily care, feeding, and medical treatment of animals in the shelter and foster care in collaboration with Senior Medical Manager and Shelter Veterinarian. Ensure a clean, safe, and comfortable environment for both animals and staff.
  • Implement streamlined processes and protocols to enhance the overall efficiency of daily operations, ensuring optimal animal care and including the development of medical protocols, treatment plans and in-house procedural documents.
  • Lead and inspire a diverse team of animal care professionals which includes the intake and processing team, surgery techs, treatment team and Shelter Veterinarian. Foster a positive and collaborative work culture, providing training and support for continuous professional development.
  • Spearhead the training of all medical staff members in medical processing, surgery and treatment utilizing hands-on training, documentation, and follow-up/evaluation.
  • Create and manage monthly employee schedules including on-call and emergency foster phone rotation.
  • Oversee the health and well-being of animals, including medical treatments, vaccinations, and coordination with medical professionals. Implement preventive health measures and respond to emergent medical needs.
  • Manage financial health of the medical department by developing and overseeing budgets, analyzing financial reports, monitoring expenses, and maximizing resources for the benefit of animal care. Explore funding opportunities, grants, and partnerships to support the shelter's initiatives and implement effective billing and invoicing processes.
  • Ability to perform all tasks associated within the department including but not limited to vaccines, blood draws, microchipping, blood/urine/fecal tests, anesthesia monitoring, surgical prep, surgery support, and prep and administer medication when needed.
  • Act as a key liaison between CEO/President and Director of Operations and the veterinary team, ensuring excellent communication, addressing operations concerns, and implementing initiatives to enhance employee productivity and employee retention.
  • Oversee inventory control measures, manage supplier relationships, and ensure the availability of necessary medical supplies and equipment.
  • Stay abreast of industry regulations, accreditation standards, and legal requirements, ensuring the practice's adherence to all relevant guidelines.
  • Coordinate routine maintenance, repairs, and cleanliness to provide a welcoming and hygienic environment for both staff and animals.
  • Stay informed about technological advancements in veterinary care, implement relevant technologies, and provide training to staff on the effective use of practice management software.
  • Recruit, train, and coordinate medical volunteers in collaboration with the Volunteer Programs Manager to assist with various aspects of medical departments operations. Recognize and appreciate the contributions of volunteers.
  • Maintain accurate records of animal intakes, adoptions, and medical treatments. Utilize shelter management software (Pet Point) for efficient tracking and reporting.

Hard Skills

·       Bachelor’s degree in animal science, veterinarian technology, RVT, or related field or equivalent experience

·       Proven experience in animal shelter management or a similar role including animal handling in a clinic setting.

·       Passion for animal welfare and a commitment to the ethical and humane treatment of animals.

·       Strong leadership, organizational, and communication skills

·       Proven ability to work collaboratively with a diverse and dedicated management team.

·       Knowledge of shelter related, contagious illnesses with an understanding of how to 1) identify such conditions, 2) establish and roll out proper handling and/or quarantine plan, and 3) implement appropriate medical treatment plans.

  • Be Fear-Free Certified or the ability to do so.
  • Be highly proficient using a computer including experience using Microsoft Office, email, and entering/searching for information in data management software such as Pet Point, Excel, or another equivalent database.

·       Be able to lift a minimum of 50 lbs. without health risk.

·       Be able to perform physical activity (bend/stand/lift) for 8-10 hours a day.
