SUMMARY: Under the direct supervision of the Dispensary Administrator, the Dispensary Coordinator oversees all aspects of the medicine dispensing at their assigned site. The Dispensary Coordinator is responsible for safely dispensing medicines, adjudicating insurance claims, handling co-pay collections and managing dispensary inventory which includes the daily adjustment of inventory in order to meet patient demand, and other duties as assigned by supervisor.

ESSENTIAL FUNCTIONS

1. Medicine dispensing
  • Ensures patient is an EHC patient before dispensing any medications as per EHC dispensary protocol.
  • Collects necessary allergy and demographic information and enters into dispensing system (new patients).
  • Confirms demographics of each patient before dispensing new prescriptions or refills.
  • Uses Coordinated Care Network (CCN) to do “drug utilization review” prior to dispensing medications.
  • Helps facilitate prior authorization with prescribing EHC physician for any medication requiring insurance approval before dispensing these medicines.
  • Appropriately labels all prescription bottles before dispensing.
  • Accurately files appropriate receipts and chart documentation.
  • Provides printed patient education material to patient for each medicine dispensed.
  • Appropriately troubleshoots processes with CCN pharmacist or prescribing EHC physician if any problems arise in process.
  • Asks questions of the prescribing physician when patients or vendors expect information which is out of the jurisdiction of the dispensary coordinator.
  • Takes phone calls and acts as a liaison for CCN and the HN Care Coordinators. Passes along information to the appropriate party when called upon.
  • Calls patients on the refill reminder list to offer to fill their medications for the month.
  • Request's refills for patients needing new prescriptions from their clinician and submits "Prior Authorizations" forms when necessary.
  • Accurately collects all prescription co-pays or payments from patients prior to dispensing medicines as per EHC dispensary protocol.
  • Maintains appropriate receipts and financial records as per EHC dispensary protocol.
  • Accounts for all daily receipts before the end of the work day and turns all cash and credit transactions daily to EHC Finance department along with maintaining the cash box.
  • Accurately collects all sales of pill boxes amount and reports it to Finance department.
2. Inventory/Formulary Management
  • Maintains appropriate levels of inventory present on site by communicating with CCN central pharmacy when stock low.
  • Helps arrange home delivery via CCN central pharmacy for all medicines not in stock on site that patients can appropriately wait 48 hours to start.
  • Communicate with prescribing physician regarding any medicine not in stock to be sure patient can wait for mail order to begin medicine.
  • Keeps track of sample medicines that are received from pharmacy representatives.
3. Dispensary Marketing
  • Maintains appropriate visual reminders and handouts regarding EHC dispensary services.
  • Reminds patients that they can send prescriptions from other specialists to CCN Pharmacy if they desire to have it delivered to their home.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Bachelor’s degree, Medical Assistant Certificate, or equivalent experience required.
  • Bilingual English and Spanish, required.
  • Excellent written and oral communication skills, required
  • Ability to successfully complete the Navigating 340B Tutorial
  • Knowledge of health care systems and related services
  • Ability to remain calm in a chaotic situation
  • Must be able to organize, process, and verify details.
  • Experience with MS Word and Excel; able to type
  • Ability to work independently and complete tasks thoroughly with minimal supervision.
  • Ability to integrate faith in the workplace and in all interactions with employees and external constituencies; desire and ability to share Christ with others.
WORKING CONDITIONS
  • Must be able to sit/stand at a desk for long periods of time in an enclosed space with up to two people.
  • Must be able to read fine print on paper, computer, and databases.
  • Must able to lift 10 lbs., climb stairs, drive or travel to other EHC sites, and walk to and from parking lots.

In keeping with this, EHC has mandated all workforce members on-site at any EHC location for any portion of their time be vaccinated for COVID-19. This also includes contractors and EHC volunteers. This vaccine mandate is in alignment with applicable local, state, and federal mandates.
