The Opportunity: Administrative Operations Associate

We are seeking a proactive and detail-oriented Administrative Operations Associate to support our leadership team, with a focus on client advisory-related initiatives. In this role, you will own various administrative tasks and coordinate firmwide projects to support the smooth operation of the business. If you thrive on detail, coordinating events, and a fast-paced environment, this role is for you This role also serves as the primary backup for front desk operations. This hire will join our growing People team, reporting to the group's Senior Associate.

What You'll Be Doing

Project Administration
  • Support Freestone Executive Team in administration of firmwide projects and initiatives
  • Coordinate the distribution of newsletters or other key communications
  • Project manage or support ad hoc initiatives (e.g., client gifts or events)
  • Oversee revenue and expense management for our suite at Climate Pledge Area, including ticket distributions, food and drink ordering, and general related administration
Administrative Support
  • Provide calendar management support for the Executive Team, ensuring scheduling efficiency and proper prioritization of tasks
  • Organize and prepare materials for meetings, including gathering information for presentations and distributing relevant documentation, capturing meeting notes and distributing afterward
  • Arrange and manage travel itineraries and accommodation for employees when needed
  • Consolidate meeting notes, to do items, and when needed, assist with tracking progress
Event Coordination
  • Coordinate firmwide employee events and provide logistical support for department-specific events
  • Collaborate with the marketing team to assist with overflow event coordination and ensure seamless execution
  • Organize logistics for client or business partner offsites, ensuring smooth event execution
Front Desk & Office Operations
  • Serve as the primary backup for front desk coverage ensuring a welcoming and efficient reception area
  • Provide primary back up coverage for other office responsibilities such as mail support, refilling supplies, kitchen maintenance, managing deliveries etc.
About You
  • Bachelor's degree or equivalent experience
  • 0-2 years of experience
  • Able to work in the Seattle office 5 days per week
  • Strong problem-solving skills and resourcefulness with a "roll-up-your-sleeves" attitude
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and SharePoint
  • Exceptional communication skills-both written and verbal
  • Strong project management skills with the ability to juggle multiple tasks and deadlines
  • Works well independently and as part of a team
  • Uses discretion in handling sensitive and confidential information
  • High emotional intelligence (EQ) and a passion for creating a positive workplace culture

  • This is a non-exempt position with an hourly wage between $26 - $34 per hour depending on experience and skill set. In addition, the position is eligible for a discretionary bonus based on company and individual performance.
