The Opportunity

We are seeking a vivacious Ambassador of First Impressions to provide an elevated customer service experience that exceeds expectations. This is an ideal position for a genuine and hospitable individual with the skills to effectively communicate with individuals of all cultures and backgrounds. This role requires strong interpersonal and emotional intelligence skills where professionalism, confidentiality, and integrity are showcased. A successful candidate for the role will possess excellent communication skills, a welcoming demeanor, and the ability to manage multiple tasks efficiently in a dynamic environment. As an Ambassador of First Impressions, you must be able to ensure visitors are well cared for and have a gratifying experience from the moment they enter the firm by offering a "red-carpet experience". We are looking for someone who has a positive attitude and a strong commitment to providing outstanding customer service.

What Winning Looks Like:

  1. Accountable to create a professional, warm, and welcoming first impression
    1. Greet and welcome clients, visitors, and employees with a friendly and professional demeanor and liaise with internal staff to facilitate smooth communication and coordination
    2. Attend to all client and visitor needs, including but not limited to offering refreshments, getting them situated in a meeting space, and providing documentation and/or obtaining signatures on behalf of legal support staff
    3. Manage the front desk, including dialing, answering, and directing phone calls, taking messages, and handling inquires
    4. Maintain cleanliness of the reception area, lobby, and conference rooms between meetings
    5. Ensure that reception desk is covered at all times during business hours
  2. Accountable to provide general office support to reduce stress and foster culture
    1. Manage and organize all conference room schedules for the Lafayette office, coordinating with the scheduling parties and the Executive Assistants as needed
    2. Notify staff of postal services and/or courthouse closures
    3. Receive deliveries and direct to appropriate parties
    4. Receive and print documents from legal team for client signatures and distribute checks to clients from accounting
    5. Assist with conference room technology as needed, informing the appropriate team members of any technical issues
    6. Properly prep the office for closures, such as company holidays, by providing notices to post on main entrances of each office location, ensuring proper lock schedule of automatic locking doors, etc.
    7. Serve as the point person for cases utilizing Certified Records
    8. Provide assistance as requested in planning and executing quarterly staff in-house micro events. (Ex. Halloween Costume Contest, Ugly Sweater Contest, King Cake Friday, etc.)
    9. Provide assistance as requested in planning and executing employee appreciation initiatives to continuously improve and foster the culture of the firm, under the direction of the Director of People Operations
  3. Accountable to serve as back up Mail Clerk as needed
    1. Pick up, sort, scan, and deliver all incoming mail to appropriate recipients
    2. Maintain confidentiality of all mail
    3. Collaborate with the Operations Team regarding mail processing
    4. Serve as the backup support to collect and enter data, including W9's to set up new vendors in legal software
    5. Support intake department by making intake packets in spare time

  • Be Empathetic: able to deal empathetically with clients who are injured and scared, while still maintaining professionalism. Must be able to work as a team.
  • Present Solutions: able to problem solve, follow instructions, be creative, use discretion, ask questions when necessary and be detail oriented.
  • Be Honorable: Ability to act with integrity, professionalism, and confidentiality and display good judgement
Preferred Education & Experience:
  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Previous experience in a receptionist, front desk, or customer service role preferred
  • Experience working in client-facing role in a law firm preferred
  • Competent Computer literacy: able to learn new programs quickly and accurately. Strong keyboarding experience.
  • Spanish-speaking is a plus.
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
