Clerk is responsible for the maintenance and upkeep of the student records, also known as the
cumulative folders. They work very closely with the professional school counselor to ensure the
records are up to date and correct.

Clerk is responsible for submitting application fee waivers and supplemental documentation to
IHLs (Institutions of Higher Learning) for the completion of college applications for students
seeking to attend college after graduation.

Clerk is responsible for creating and maintaining the weekly grade spreadsheet for students
enrolled in college courses. In the fall every NEC student will have a college class(es). Report
grades of lower than 70 to school counselor/parents.

Clerk is responsible for communicating issues with grades, attendance, and other school related
issues to parents/guardians/other school officials as required.

Clerk participates in morning duty every other week.

Clerk is responsible for maintaining the fixed assets on the NEC campus.

Clerk is responsible for assessing damage to school chromebooks loaned to the students and
communicates any issues with the device to the parents if payment is needed to replace or
repair the device.

Clerk is responsible for communicating any request for the repayment of courses unsuccessfully
completed by the enrolled NEC student to their parent(s)/guardian(s) for them to reimburse the
district for the cost of the course/es. This information is maintained in a spreadsheet shared
between the records clerk and the school bookkeeper.

Clerk is responsible for fulfilling any and all correspondence requests issued by the school
counselor.

Clerk creates and schedules the bi-annual student planning tool meetings for the school
counselor. These meetings are required by the state department of education and are important
to the success of the student in meeting their graduation requirements.

Clerk is responsible for maintaining a Counseling Department log and keeping up with any
communications with parents, district personnel, and other stakeholders who visit the school.

Clerk is responsible for updating the ACT and testing information in the student cumulative
folders.

Clerk is responsible for fulfilling any and all records requests in a timely manner as well as
requesting any records for new students in a timely manner. Additionally, those records which
are sent to other schools require the completion of an additional document known as the
verification of student enrollment.

Clerk is responsible for keeping a record of all college courses the students are enrolled in and
maintaining the record in the office.

Clerk is responsible for keeping the records of the previous year on hand for one year in the
event that the records are requested by a student or other school. (Must also be aware of
students who owe the district money - they can not get their transcripts.)

Clerk is responsible for assisting with any and all awards ceremonies/banquets/celebrations
held by the school counselor.

Clerk is responsible for assisting the students with the community service logs (distribute them
and routinely scan and upload them into their student files) for record-keeping purposes.

Clerk is responsible for ordering the supplemental ACT materials for the school year (ACT fee
waivers and study materials.)

Clerk is considered an ally for the students in respect to their college courses, so they are able
to view the information on dropout detective format and keep track of student progress.

Clerk has access to and may be asked to assist students with issues in the Edgenuity platform.

Clerk must attend Professional Development sessions and Test Training sessions. They will be
asked to proctor tests at various times in the school year.

Clerk may be asked to monitor students at different times and possibly hold a class in the event
the school is short-staffed.

Clerk may be asked to collaborate with any and all other staff members for programs and/or
events held at the school.

Clerk should be able to conduct themselves in a professional manner at all times - they are first
and foremost responsible for creating a receptive environment for the students, parents and any
and all guests.

Clerk should have a working knowledge of all computer programs used regularly by the district -
Word programs and Google programs.

The clerk is responsible for any and all additional duties assigned by the professional school
counselor and/or the school principal.
