Job Summary and Qualifications

The Marketing Meetings & Events Manager will develop and execute an effective hosted event and trade show program that supports the marketing and corporate strategic plans for HealthTrust, AdvantageTrust, and related service lines. The Marketing Meetings & Events Manager will manage and execute corporate events, including hosted conferences, trade shows, VIP meetings, and regional events. The ideal candidate is detail-oriented, an excellent communicator who thrives under pressure, and has a proven track record of developing and executing effective marketing-event-based programs in the healthcare field.

What you will do in this role:

  • The Marketing Meetings & Events Manager is responsible for coordinating and managing budgeting, scheduling, and organizing trade shows, hosted hospitality events, dinners and VIP meetings at all trade shows. Primary responsibilities include developing project management plans, sourcing and negotiating contracts with venues and vendors, establishing and managing a detailed budget, managing registration lists, managing all event logistics, and conducting post-event measurement/follow-up to deliver an effective program of events.
  • Work independently to establish agenda development, venue selection, executing logistics, systems development, vendor selection, revenue generation, budget control, overall project/timeline management, and conducting post-event measurement/follow-up to deliver an effective program of events for our trade shows, hosted conferences, VIP meetings, and regional events.
  • Manage the trade show calendars for multiple business units. This includes receiving approval to attend the show, managing the budgets for each show, logistics, on-site coordination if necessary, and hospitality events/dinners associated with the trade show.
  • Collaborate with the Marketing Event Coordinator to create a successful trade show and conference plan. Review final recommendations with the Senior Director of Meetings and Events and the VP of Marketing and present them to the business unit leadership for approval.
  • Ensure that we achieve expense and revenue targets, establish budgets for each event, and work closely with finance within each business unit to provide accurate financial information for each event. The position should establish and follow appropriate chargeback allocations for each business unit.
  • Negotiate contracts with best-in-class vendors that provide supportive services for special events, trade shows, and logistics. Manage contracts and relationships with vendors daily.
  • Develop and implement all event registration and trade show logistics management systems and mobile applications.
  • Utilize metrics and processes to measure events and show success, providing analysis and recommendations for continual program improvement.
  • Proactively communicate project status and program deadlines to the Senior Director of Meetings and Events, business unit partners, and other internal customers as needed.   • Stay up to date with the newest trends, technologies, and best practices in the healthcare industry for trade shows and events.
  • Work with strategic marketing to develop marketing promotion strategies to improve event effectiveness with evaluation measurements.
  • Ensure that all brand style guidelines are followed for each event.
  • Implement an appropriate lead qualification system at events/trade shows as appropriate.
  • Other duties as assigned.

Knowledge, Skills, Abilities, Behaviors:

  • Knowledge of conference strategy and exhibit planning best practices within the events/trade-show medical industry is a must.
  • Extensive experience managing multiple trade shows simultaneously while working with many key stakeholders.
  • Experience analyzing trade show leads and data, and ability to provide data to determine the value and ROI of attending trade shows.
  • Demonstrated ability to work independently, communicate effectively in both written and verbal form, and possess high organization, detail, and creativity.
  • Enthusiastic and high-energy individual with an exceptional time-management aptitude and ability to handle multiple projects efficiently.
  • Experience developing and managing budgets and all related accounting requirements for multiple budgets.
  • Proven project management experience.
  • Excellent customer service skills.

What qualifications you will need:

  • Bachelor's degree, marketing/advertising, communications, or a related discipline, required
  • 7+ years of experience in large-scale event planning and trade show logistic planning within the healthcare industry, with job-related responsibilities in marketing, trade shows, and events, required
  • CMP Certification is preferred
