POSITION SUMMARY & KEY AREAS OF RESPONSIBILITY: The Vendor Data Management is responsible for maintaining Vendor data in our internal systems. Overall responsibilities for the Position include the following: Tactical: Identify vendors’ needs and translate them into actions that need to be taken Rely on experience and judgement to plan and accomplish goals Ensure timely resolution of ALL requests and collaborate with cross functional teams and external customers Problem Solving: Provides supporting documentation to External auditors as necessary Participates with the AP Manager on the Quarterly Internal AP Audit Ability to handle high volume and prioritize work to meet business demands in a timely manner Handle inquiries and ad hoc requests from vendors Update internal systems and databases with information / documentation as needed Assume ownership of the VDM (Vendor Data Maintenance) set up, making sure vendors are set up correctly. Ensure accurate vendor data through ongoing vendor maintenance Daily GL Extract from Concur GRNI Make sure all vendors are coded for 1099 reporting Assist with 1099 processing Responsible for a wide range of duties from account creation to account maintenance, to internal partner support and vendor interaction Work with Procurement and Feedback Suppliers teams to obtain necessary documentation for account creation Responsible for ensuring a smooth process in handling all the aspects of onboarding a vendor Consistently look for opportunities to add value to the role and the organization through continuous improvement and ownership of processes Refresh data and documentation for existing vendors on an ongoing basis (e-mail addresses, banking, payment terms, etc.) Research and obtain correct information for returned payments Update Vendor Contact List for new vendors and vendor updates AP KPI Reporting Quarterly AP Internal Audit APS520 Report Distribution Create, improve and maintain written procedures BASIC QUALIFICATIONS: Excellent negotiation and conflict resolution skills Ability to prioritize among competing tasks Keen attention to detail and adherence to deadlines Must be able to handle high volume email traffic and consistent requests Strong critical thinking and problem-solving skills Comfortable dealing with internal and external business requests Self-motivated and able to thrive in a results driven environment Comfort with working under pressure in a fast-paced environment Proficiency in Microsoft office EEO Statement Iconex enthusiastically engages with our communities of employees and customers every day.
