What You'll Do

Prepare Estoppels and Closings documents for our growing portfolio HOA and Condo Communities. Managing a high volume of new owners, updating new owner data after property sales, and responding to inquiries and requests from title agents in a timely manner.

Duties include:

• Ensures a timely, efficient, customer excellence response to each request, dispute or complaint from homeowners, title companies, attorneys, lenders, and all other vendors
• Responds to emails and voicemails within 24 hours of receipt
• Ensures timely, accurate and compliant processing on all estoppel requests and questionnaires
• Validates all outstanding fees, assessments, and association contributions
• Ensures all new homeowner information received is entered into Caliber within a timely manner
• Process payments for monies received after closing
• Process statements of account, coupon books, welcome letters, and new homeowner information sheets, when necessary, as required by each individual community
• Notates each homeowner's account after every interaction (calls/ emails / walk-ins) for historical reference
• Regular and consistent attendance is expected and a necessary component to the job

• Minimum of 3-years' experience working in customer service
• Previous experience working with homeowner closings or title company preferred
• Minimum of 2 years' experience in handling high volume customer services calls and emails
• Strong customer focus with an emphasis on problem solving
• Excellent written and verbal communication skills
• Excellent people skills with the proven ability to build and maintain strong working relationships across all departments
• Ability to work independently with strong organizational skills
• Proficient in Microsoft Outlook
• Working knowledge of Microsoft Excel, Word and Caliber software are a plus
