Position Summary From Fatherless to Fearless is seeking a highly organized and mission-driven Program and Operations Specialist to strengthen program delivery and operational efficiency within our growing nonprofit organization. Reporting directly to the Chief Executive Officer, this position serves as a vital connector between programming, development, and administrative operations. The Specialist will coordinate key initiatives, manage program systems, and oversee logistics for events and projects that advance FFTFs mission. This role will also contribute to new and innovative projects that expand FFTFs impact and strengthen organizational infrastructure. Key Responsibilities Program Support (70%) Develop and manage FFTFs e-learning platform for program facilitators, including course creation, user enrollment, and content maintenance. Establish project timelines, define milestones, and coordinate contributors to ensure successful program execution. Track progress toward deliverables, identify potential challenges, and propose proactive solutions to maintain quality and alignment. Plan and execute logistics for FFTFs major programs and events (e.g., Whats the Scoop?, Moms Day Out, Better Together Conference), including timelines, vendors, and on-site coordination. Collect and organize participant testimonials and program impact stories for use in evaluation, marketing, and grant reports. Pull and compile quarterly program data and outcomes from internal systems for grant and evaluation purposes. Conduct program research to inform best practices. Create and maintain accurate documentation and Standard Operating Procedures (SOPs). Collaborate with leadership on innovative projects that support FFTFs strategic goals and community impact. Development Support (20%) Identify and research new grant opportunities aligned with FFTFs mission and programming priorities. Write and edit grant proposals, letters of inquiry, and supporting documents; manage submission timelines and deadlines. Coordinate data, outcomes, and impact stories needed for proposals and funder reports. Track reporting requirements and deliverables to ensure accurate and timely submissions. Assist the CEO in preparing donor materials, stewardship updates, and presentations for funders. Administrative Operations (10%) Manage the organizations administrative inbox, triaging inquiries and providing professional, timely responses. Support the CEO with scheduling, meeting preparation, agenda development, and follow-up documentation. Maintain organizational SOPs, calendars, and shared files, ensuring information accuracy and accessibility. Assist with data entry, CRM record updates, and tracking of operational information (Bloomerang experience preferred). Facilitate post-event and project debriefs to document lessons learned and drive continuous improvement. Other duties as assigned. Qualifications Minimum of two years of experience in nonprofit programming, operations, or project coordination (three or more years preferred). Proven ability to think ahead, plan, and manage multiple projects with strong organizational and time management skills. Excellent written and verbal communication skills, including experience drafting proposals, reports, or formal documents. Proficiency in Google Workspace and common productivity tools; familiarity with e-learning systems and CRM databases is a plus. Very strong attention to detail, with the ability to adapt and problem-solve in a dynamic environment. Availability to work TuesdayThursday on-site in Cincinnati, with occasional evenings or weekends for program events. Hours, Location & Compensation Schedule: 24 hours per week, on-site TuesdayThursday; flexibility required for events and special projects. Compensation: $22-$23 per hour (non-exempt).
