Title: Payroll Accountant & Benefits Coordinator Department: Lil’wat Management Services Status: Full-time, Permanent Pay Grid: $50,000 to $70,000 Reporting to: Finance Manager Schedule: 35 hours per week, Hybrid ________________________________________ Summary of Duties: The Payroll Accountant & Benefits Coordinator will ensure that the payroll for all employees is accurately prepared and on time. They will administer all benefit programs and maintain the employee personnel files. The Payroll Accountant & Benefits Coordinator will ensure that the payroll expenditures are recorded correctly and will assist the program general manager with payroll projections when needed. The Payroll Accountant & Benefits Coordinator reports to the Finance Manager, taking direction from the Senior HR Generalist and Chief Financial Officer as necessary. In carrying out their duties, the Payroll Accountant & Benefits Coordinator also works directly with other members of the finance department and management Groups. (Payroll and Benefits Coordinator) Key Deliverables and Expectations: Maintain employee payroll files for all employees of the Organization within the payroll system. Administer, monitor, and maintain records of employee group benefit programs and help coordinate staff training on the benefits program. Prepare, process, and maintain records for the bi-weekly hourly and salaried payroll for the Organization. Calculate and prepare cheque requests for all government remittances including source deductions, employee benefits, MSP, Homewood, WCB, and any other employee-related expenditures. Prepare cheque requests, complete remittance advices, and maintain files for all garnishees, orders to remit, court orders, payroll deductions, and any other ordered payroll withholdings. Monthly reconciliations of all government remittances and payroll-related general ledger accounts. Prepare T4's for all employees on an annual basis. Issue Records of Employment and respond to payroll and/or benefits-related inquiries. Absence record management for all employees. Ensure that all payroll costs are properly charged to the correct department by confirming employee department assignments with the senior managers at the beginning of each year and for each new employee hire. Distribution of bi-weekly payroll reports to directors and managers. Assist with the preparation of year-end working papers for the external auditor. Prepare year-end reporting schedules as required by funding authorities. Ensures compliance with legislative, government, and regulatory bodies. Coordinates training of payroll system. Provides assistance, when necessary, to queries from Finance Manager, Chief Financial Officer, Senior Managers, and Senior Administrator of Lil’wat Business Group. Responsible for maintaining a high degree of confidentiality relative to personal data, salary data, and associate benefits information. (Accountant) Key Deliverables and Expectations: Maintain and reconcile Accounts Receivable. Maintain the Accounts Payable for Lil’wat Business Group. Reconcile balance sheet accounts including bank reconciliations. Coordinate quarterly inventory counts and prepare account entries. Coordinate amortization and accounting for all Lil’wat Business Group assets. Analyze project successes and failures. Assist in providing variance analysis, actual vs. budgeted revenues, and expenditures. Monitor and report on key business performance indicators, providing solutions where applicable. Perform analysis on product gross margins, pricing, and promotions. Support Lil’wat Business Group promotion marketing efforts. Assist in planning Lil’wat Business Group projects and monitoring their progress. Ensure Lil’wat Business Group projects adhere to designed frameworks. Filing of Lil’wat Business Group correspondence, documents, and reports. Perform other related duties as requested. Experience and Attributes: Payroll Compliance Practitioner (PCP) designation an asset. Minimum 2 years of experience processing payroll in a large organization (100 employees or more) and managing an employee group benefit program. 3-5 years experience working in an economic development or corporate environment an asset. Completion of Post Secondary Schooling as a CPA (Chartered Professional Accountant) or CGA (Chartered General Accountant) or CMA (Chartered Management Accountant) an asset. Courses in finance or bookkeeping certification are an asset. Knowledge of Payworks, SAGE, or similar accounting software an asset. A solid understanding of financial and budgetary principles. Strong organizational skills, meticulous attention to detail, and time management skills. Ability to work independently and as an integral member of various teams. Outstanding written and verbal communication skills in the English language. Strong proficiency in Microsoft Word, Outlook, Excel, and PowerPoint. Ability to meet deadlines, prioritize assignments, manage multiple tasks simultaneously and maintain confidentiality. Motivated self-starter with strong interpersonal skills. Previous experience with First Nations preferred. Highly professional in all aspects of business, presentation, and interaction with all stakeholders, clients, and Members.
