Job Summary:
The Front Desk Representative is responsible for managing the front desk area, greeting clients and visitors, handling inquiries, and providing excellent customer service. This role is vital in ensuring that our guests have a positive experience from the moment they walk through the door.
Key Responsibilities:
- Greeting and Welcoming:
- Greet clients, visitors, and staff warmly and professionally.
- Provide directions and information as needed.
- Customer Service:
- Address client and visitor inquiries promptly and courteously.
- Handle complaints or direct them to the appropriate person for resolution.
- Administrative Tasks:
- Answer and direct phone calls, taking messages as necessary.
- Manage the reception area, keeping it clean and organized.
- Handle incoming and outgoing mail, packages, and deliveries.
- Schedule appointments and maintain calendars.
- Record Keeping:
- Maintain visitor logs and sign-in sheets.
- Update and manage client and visitor databases.
- Coordination:
- Liaise with various departments to coordinate meetings and visitor schedules.
- Assist in organizing company events and meetings.
- Security:
- Monitor and control access to the building.
- Ensure compliance with security procedures and policies.
Qualifications:
- High school diploma or equivalent; additional certification in Office Management is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Customer service orientation.
- Ability to handle stressful situations calmly and effectively.
