Program Administration
Assume responsibility for all daily operation of the Academy program
Creates and revises systems and procedures by analyzing operating practices, record keeping systems, forms control, office layout, and implementing changes
Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
Act as liaison between the school administration including advisory team and bookkeeper, the Academy staff, and the Academy families
Act as liaison between the Academy and the church, attending weekly church staff meetings
Act as a liaison with community partnerships by attending meetings and conferences as deemed appropriate
Maintain all contracts and compliance documentation for academy partnerships
Maintain policies and procedures for program operation
Maintain all compliance requirements for governing entities: Florida League of Christian Schools, Florida Department of Education, FL School Choice, STEP-UP scholarships
Oversees all compliance requirements for governing entities: Department of Children and Families, FLOCS Preschool Accreditation, Early Learning Coalition of Seminole county, and the Division Of Early Learning
Program Operation
Supervise elementary registration and enrollment and supervise preschool registration/ enrollment
Manage program data including class lists using SIS Software
Oversee the preparation and/or implementation of parent/ teacher conferences
Plan Elementary school year calendar, supervise preschool school year calendar
Work with church facility administration, children’s director and staff on all space sharing necessities
Develop work calendar and schedule for all Elementary Academy staff, assist Preschool
Director with scheduling Preschool Academy staff
Outline expectations for and monitor communications with parents
Program Development
Must maintain issues and trends in elementary education; assist Preschool Director with maintaining issues and trends in early childhood education
Encourage and provide opportunities for team building and staff collaboration
Work along side of Executive Pastor and Children’s Pastor to provide a vision for program development and change
Implement strategies to recruit and increase enrollment
Largely responsible for implementing school policies and keeping in compliance with local governing entities.
Office Supervision
Supervision of office staff responsibilities including but not limited to:
Program supplies
Maintenance
Student records
Scheduling/ OTPayables and Receivables
Budget Responsibilities
Responsible for family tuition payments and delinquency accounts
Make decisions regarding family tuition adjustments
Responsible for program budget
Identify resources to support budget responsibilities
Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures.
Prepares financial reports by collecting, analyzing, and summarizing account information.
Program Supervision
Assure that monthly class newsletters are given to parents
Write and distribute weekly staff emails, keeping teachers informed of current program information
Conduct weekly staff meetings for Elementary Staff members
Arrange for elementary teachers to complete a minimum of 15 clock hours of outside training annually
Evaluate Elementary teachers on an bi-annual basis
Dismiss or suspend Academy employees as determined necessary by the director. Any such action will be reviewed and confirmed by the Senior Pastor and Executive Pastor.
Interview and select substitute teachers with the help of Preschool Director
Develop substitute teacher procedures
Supervise implementation of licensing and safety procedures
Supervise implementation of program curriculum
Maintain staff records
Provide support for elementary teachers, assist Preschool Director with the support of preschool teachers
Maintain a visible presence to all staff, students and Academy families
New Employee Onboarding
Recruitment of all new hires
Interview potential candidates, with assistance from the Preschool Director: teachers both preschool and or elementary as well as academy support staff
Education Requirements
Bachelor's Degree: Minimum requirement, with a preference for higher educational qualifications such as a Master's or Doctorate, particularly in Education or a related field.
