STATUS: Part-time, Non-Exempt

HOURS: 25 hours, with weekend and evening availability as needed.

The Salesforce Admin works closely with and reports to the Membership and Database Manager. This position requires proficiency in a CRM database (Salesforce), a foundational understanding of data and databases including experience with data entry, data cleansing, data purging, and report building. This position also requires excellent communication and presentation skills, customer service skills, basic problem-solving skills, and the willingness and ability to learn new technologies. This position works closely with the Marketing Manager to ensure data quality in other technology systems, such as our email automation platform. This role will share key metrics and performance indicators to the wider Development Team and the organization at large.

This role is critical to the success of the organization and to performing all day-to-day operations. Maintaining the quality and health of BIMA's database ensures that the entire organization can maintain relationships with key stakeholders, members, donors, artists, and more. It ensures that we reach a wider audience with accuracy, engaging new prospects in the Puget Sound region and beyond.

By supporting data quality and accuracy efforts and reporting performance to the wider BIMA organization, this position advances BIMA's mission to inspire curiosity, wonder, and understanding by enhancing our ability to grow contributed income, which in turn enhances our ability to continue to connect people with the contemporary arts and crafts of the Puget Sound region.

Requirements

DUTIES & RESPONSIBILITIES:
  • Manage the integrity of the organizational database (Salesforce), which includes data hygiene tasks such as maintaining the quality of all data, regularly cleansing, purging, and de-duplicating the data.
  • Analyzing key data sets, such as members and donors, to create reports and dashboards that are shared out with key stakeholders within the organization.
  • Maintaining and improving key reports and dashboards that have been set-up within the org to continuously report out on key metrics and performance indicators.
  • Assess, refine, and create organizational data management processes and recommendations to ensure that BIMA is following best practices.
  • Produce accurate reports and lists for mailings, newsletters, event invitations, and other initiatives in a timely and systematic manner.
  • Edit, update, and add to the database on an adhoc, as-needed basis.
  • Produce reports, contact information, or other information in the database on an adhoc, as-needed basis.
  • Process all Membership and Donations on a weekly basis including; gift entry process, membership entry process through in-person, online, or store memberships,
  • Create and send all membership cards and membership renewals on a monthly basis.
  • Enter data, pre and post, for any major fundraising initiative or membership event.
CANDIDATE QUALIFICATIONS:
  • A Bachelor's degree and one (1) year of experience in database administration; OR Equivalent education/ experience and two (2) years of database administration experience; OR Two (2) or more years of database management experience and membership/ donor/ fundraising experience.
  • Proficiency with CRM databases (preferably Salesforce).
  • Experience with data hygiene practices, including cleansing, purging, and de-duplicating.
  • Ability to learn complex data management systems and procedures.
  • Ability to adapt quickly, pivot strategies, and learn new technologies as needed.
  • Excellent written and verbal communication skills, including computer skills.
  • Familiarity with, and ability to articulate best practices in CRM (Salesforce) management.
  • Demonstrated strong data entry skills.
  • Proficiency with Microsoft Office Suite.
  • Demonstrated familiarity with analyzing data, including report and dashboard building and understanding of datasets and key performance indicators.
  • Exceptional communication skills, both written and verbal, with ability to communicate to a wide audience of individuals with different data literacy levels.
  • Strong presentation skills with the ability to communicate results digitally and in-person.
  • Proven ability to work professionally, collegially and effectively with donors or other constituents, colleagues and the general public.
  • Ability to work in a fast-paced and complicated environment, including setting priorities, managing projects, and meeting deadlines.
  • Ability to walk frequently, stand for extended periods, climb, push, lift (up to 30 lbs), stoop, carry equipment and materials.
  • Ability to work flexible and variable hours, including some evenings and weekends depending on Development Event needs.
  • Represent BIMA to the public and all stakeholders in a positive and professional manner, providing outstanding service to all clients.
  • Availability to work major BIMA events as needed, especially BIMA's annual fundraiser [BIMA Bash Auction], member parties, and other special events.

COMPENSATION, SCHEDULE, & BENEFITS:
  • Compensation: $20 - $25/ per hour
  • Paid Sick Leave: Accrued at a rate of 1.54 hours for every 40 hours worked.
  • Option to participate in 403(b) retirement plan. Employer match available to those that participate who have completed 1 year of work and 1,000 hours. Employer match is based on percentage of employee's wages from previous year.
