HUMAN RESOURCES ASSISTANT

NON-BARGAINING UNIT, GRADE 9

BASIC FUNCTION

Provide confidential administrative support to the Human Resources department.

CHARACTERISTIC DUTIES & RESPONSIBILITIES

  • Serve as a responsive point of contact for employees and route questions appropriately.
  • Manage mail and respond to email or other inquiries.
  • Assist with on-boarding and off-boarding of staff and faculty.
  • Process, track and maintain records for employment eligibility, including background checks and E-Verify.
  • Maintain accurate and up to date files (electronic and file folders) in compliance with applicable policies and regulatory requirements.
  • Support the performance evaluation process for staff, including the tracking of probationary periods.
  • Assist with sending employee and/or retiree related information.
  • Maintain HR Intranet site.
  • Monitor training requirements and notify applicable parties when due.
  • Assist with the planning, coordination and execution of employee related events.
  • Process invoices and purchase card reconciliations, accurately and timely.
  • Perform other duties as assigned.
SUPERVISION RECEIVED

Direct supervision is received from the AVP of People and Culture.

MINIMUM QUALIFICATIONS

Associate's degree in business administration, human resources or other appropriate discipline, plus three to five years relevant experience or a combination of education and experience from which comparable knowledge and skills are acquired.
  • Proficiency in Microsoft Office;
  • Ability to handle confidential and sensitive information professionally and discreetly;
  • Demonstrated customer service skills;
  • Exceptional interpersonal, written, and verbal communication skills;
  • Highly organized and detail oriented, ability or multi-task with little direct supervision.
PREFERRED QUALIFICATIONS

Bachelor's degree in business administration, human resources or other appropriate discipline. Experience with HRIS systems such as UKG (UltiPro), E-Verify, Hire Image, or other related technologies.

Knowledge:
  • Thorough knowledge of office management methods, procedures, and practices.
Skills:
  • Demonstrated experience with administrative work assignments involving judgment and discretion.
  • Good planning, organizational, administrative, and analytical skills to ensure multiple deadlines are met.
  • Strong customer service experience.
  • Effective communication skills, including the ability to deal effectively with a broad range of individuals and groups within and outside the University.
Abilities:
  • Ability to work with confidential information and to apply maturity and discretion in a daily operational role.
  • Demonstrated ability to support a diverse community and promote diverse perspectives, and cultures in an inclusive environment.


Location: Hybrid-remote with affiliation to a campus (Castleton, Johnson, Lyndon, Williston, or Randolph) with occasional travel to other campuses, as needed.
