WORK LOCATION: PTK Headquarters, Jackson, MS

DATE: June 4, 2024

OBJECTIVE: To provide support for the day-to-day operations of the Financial Services department and support the stewardship efforts of the Foundation.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Prepares and posts manual journal entries including but not limited to regional deposits, regional fees, and regional credit card transactions.

Provides financial information to the Regional Coordinators including but not limited to credit card statements, regional fee statements and monthly financial reports.

Processes the regional accounting email and accounts payable as applicable.

Assists with all Regional accounting processes.

Prepares the daily deposit log for the Society, Foundation and PTK Regions.

Assists with monthly general ledger account reconciliations.

Assists with the daily depositing, processing, and recording of all contributions to the Foundation, and generates various performance reports for the Executive Director.

Assists with processing gift entry and distributing receipts to donors for tax-deductible contributions, completing the daily depositing in an accurate and timely manner by completing the daily depositing, processing, and recording of all private contributions for Foundation programs.

Assists with annual endowment reports and year-end tax letters for donors.

Assists with invoicing sponsors and exhibitors once agreements have been reached.

Advances the strategic plan of the Society through engagement in the planning process at the strategic, operational, and individual levels.

Other duties as assigned by the Chief Financial Officer and Foundation Executive Director.

Requirements

QUALIFICATIONS:

•Associate degree required, or equivalent combination of experience and training, which provides the knowledge, skills, and abilities necessary to perform the work. Baccalaureate degree preferred.

•Proficient computer skills, specifically with Outlook, Word, Excel, and the ability to grasp new software and programs quickly.

•Requires minimal supervision and is self-motivated.

•Effective written communication skills with the ability to compose and finalize documents, reports, and correspondence with accuracy.

•Effective verbal communication skills, including strong and highly professional interpersonal abilities.

•Ability to organize, prioritize, schedule and complete work assignments in a timely manner.

•Ability to plan, develop, coordinate, and complete multiple projects in a timely manner.

•Ability to work well with internal management and with diverse constituents such as members, advisors, college presidents, staff, donors, etc.

•Ability to analyze and solve problems and enjoys a fast-paced environment.

•Values and promotes diversity through equitable practices and inclusion of others.

WORK ENVIRONMENT:

This work environment is an office-like setting with moderate noise.

  • Physical Exertion : The incumbent may frequently be required to lift approximately 10 pounds and/or occasionally up to 25 pounds.
  • Vision : The incumbent must possess close, midrange, distance and peripheral vision; as well as the ability to identify colors, judge distances and adjust focus.
  • Speaking/Hearing : The incumbent must be able to give and receive information through speaking and listening.
  • Motor Coordination : The incumbent in this position is frequently required to: use their hands and reach with their hands and arms. The incumbent is occasionally required to: stand, walk, and stoop, kneel, crouch or bend.
