Our Client, a Global Investment Bank, is seeking a Business Analyst - Invoice Processing Specialist in their New York, NY location.

Position Overview: We are seeking an experienced Business Analyst to join our team, specializing in invoice processing. This role involves processing and validating both project-related and non-project-related invoices, managing vendor accounts, and preparing financial reports. The ideal candidate will have strong communication skills, experience with enterprise-wide applications, and the ability to manage resources efficiently.

Typical Day in Role:

  • Invoice Processing: Handle the processing of invoices per month for both project-related and non-project-related invoices from two different mailboxes. Validate invoice variables (rate, hours, PO#, etc.).
  • Validation: Ensure accurate processing and validation of project and non-project-related invoices.
  • Communication: Liaise with program/project managers throughout the invoice processing lifecycle to ensure clear communication and smooth operations.
  • Vendor Management: Work with vendor account representatives on joiners & leavers financials and resolve invoice discrepancies.
  • Accrual Preparation: Prepare and submit non-project accruals. Maintain the invoice tracking file to create aging reports, send missing invoice alerts, and provide critical data for all accrual submissions.
  • Financial Responsibilities: Assist with hardware and software POs and invoices, perform data quality checks, and handle new project idea submissions.
  • Resource Management: Oversee the onboarding, offboarding, and renewing of resources on a monthly basis. Maintain a global resource roster for employees and contractors.
  • Reporting: Provide regional and organizational trend reports to senior leaders for critical business decisions. Work with project managers and senior program managers in a global organization to fulfill staffing needs.
  • Ad Hoc Reporting: Conduct ad hoc reporting as needed.

Requirements:

  • Experience: 5+ years of experience in a Business Analyst (BA) capacity.
  • Applications Knowledge: Proficient in enterprise-wide applications such as CA-PPM (Project Portfolio Management), Coupa (3rd party risk assessment), Icertis (Document/repository).
  • Contractor Management Systems: Familiarity with systems like Fieldglass, CMS/Ariba.
  • Microsoft Suite: Proficient in PowerPoint, Excel, Visio, SharePoint, Outlook, and Teams.

Nice-To-Have Skills:

  • Experience with MC Hub (Management consulting hub- approval workflow system).

Degrees or Certifications:

  • Bachelors degree or equivalent related work experience.
