Requirements
Responsibilities of the Receptionist:
- Answer incoming phone calls to the corporate office and direct calls to the appropriate department
- Greeting visitors and employees as they walk into the building
- Verifying appointments and setting up meeting rooms as needed
- Scheduling meetings and travel arrangements, preparing presentations and speeches and screening incoming calls, E-mails and correspondence - responding independently when possible.
- Setting up, managing and monitoring multi-party video conference calls, meetings, etc.
- Managing incoming calls and correspondence
- Managing constantly shifting priorities with flexibility and accuracy.
- Identifying and resolving problems in a timely manner by gathering and analyzing related information
- Fluent Spanish and English Strongly preferred
- Experience working a multiline phone system with 2-3 years of experience.
- Must be able to work under deadlines.
- Highly proficient computer skills (advanced or higher) needed with Windows, MS Word, Excel, PowerPoint, and Outlook.
- High degree of professionalism to handle sensitive and confidential information as well as internal and external, domestic and international telephone calls.
- Must be able to provide quick turnaround of unanticipated requests.
- Must be able to prioritize and organize workflow to ensure effectiveness and efficiency; manage tight
- Must have ability to learn new computer systems quickly and embrace new technologies.
- Exceptional listening skills. Excellent oral and written communication skills with a high degree of accuracy and attention to detail needed.
- Strong interpersonal skills exercising discretion and diplomacy in working with others including all levels of management.
- Strong business acumen and judgment necessary.
- Ability to maintain performance in high pressure situations.
