Summary

The Warranty Administrator will be charged with supporting the Warranty group. In this role the Warranty Administrator will support customers by managing phone calls & emails, engaging with departments within Ipsen to expedite repairs, and ensuring timely support of our customers and their equipment.

Essential Duties and Responsibilities

  • Act as the primary point of contact for existing customers and interact with internal teams to resolve customer issues or address product or service needs with regional service managers.
  • Generates warranty replacement parts orders for purchasing or in-house fabrication of assemblies to ensure quickest possible delivery to customer site.
  • Utilizes warranty documentation to determine if failures are warrantable under the terms and conditions of sale and generates appropriate paperwork to ensure customer is not charged for replacement parts or assemblies.
  • Expedites rush warranty orders to customer as necessary to ensure customer receives quickest possible response.
  • Reviews all in-warranty field service expense reports and time reports to ensure expenses are allocated to warranty accounts when needed.
  • Generates appropriate monthly, quarterly, and annual documentation on warranty expenses.
  • Provides administrative support to the Quality Assurance Engineer as required.
  • Reviews Return Material Authorization (RMA) requests and issues RMA to requestor as required.
  • Close RMA request upon receipt of returned goods.
Requirements

Knowledge, Skills and Abilities
  • Advanced computer skills with high level of proficiency in Microsoft Office.
  • Knowledge of, or prior history working in, ERP and CRM tools such as Salesforce or Syteline preferred.
  • Knowledge of, or ability to learn, vacuum furnace components to include electrical and mechanical systems.
  • Ability to use industry-specific software to identify correct components for warranty orders.
  • Possess a strong attention to detail and sense of urgency with an ability to prepare warranty orders in a timely and accurate manner.
  • Ability to multi-task, prioritize and be flexible with changing business needs in a team environment.
Education and Experience
  • High School Diploma or equivalent required. Associate's degree or other advanced training or certification program strongly preferred.
  • Minimum 1 year of related administrative support work required, preferably in an industrial or manufacturing environment.
  • Experience working in a field service or warranty environment preferred.
  • Experience working with Salesforce and/or Syteline ERP systems preferred.
