Responsibilities:
  • In the exam room, transcribes medical decision-making in real-time under the direction of the provider, including documenting all orders, referrals, and follow-up visits for provider approval and sign-off
  • Updates the problem list as applicable to that days visit for provider approval and sign-off
  • Update medication lists changes that are made during the office visit or any errors that are caught during the office visit
  • Recognizes and reports unusual circumstances and/or information with possible risk factors to a supervisor or supervising provider
  • Preps new patient information, making sure all pertinent information is in the chart at appointment time
  • Preps follow up charts by making sure that all scans, blood work, and notes from other providers are in the chart at the appointment time
  • Manage ERX queue and paper refill requests within the scope of practice
  • Transcribes or starts procedure notes per provider preference for approval and signature
  • Enter all follow-up orders for provider approval and signature, including orders and follow-up on results for all tumor testing and bone marrow biopsies
  • Educates patients, families, and caregivers about their role. Maintains compassionate presence with patients and family during all office encounters
  • Initiates patient phone calls as directed by the provider, within the appropriate scope of practice
  • Coordinates patient needs for appointments and schedules appropriately to expedite the plan of care
  • Provides patient instruction and handout as directed by the provider within the appropriate scope of practice set forth by State regulation, The Practice, and The US Oncology Network
  • Navigates the electronic medical record, Picture Archiving and Communication System (PACS), and hospital portals
  • Serves as a liaison and advocate for patients, families, and caregivers when assisting the multidisciplinary team
  • Facilitates communication among health care providers. Serves as a liaison and contact for referring providers, external medical offices, and patients in a timely, professional manner
  • Participates in continuous process improvement of patient outcomes, assuring appropriate utilization of resources to increase patient, family, and caregiver satisfaction
  • Conveys information about internal and external resource availability
  • Fill out forms (electronic and/or paper) in the room as needed
  • Manages provider's schedule template
  • Maintains equipment and work area as directed
  • Protects patient privacy and all patient information following HIPAA guidelines and participates in ongoing training as required by practice and the US Oncology Network
  • Supports and adheres to the US Oncology Compliance Programs, including the Code of Ethics and Business Standards to coordinate patient care through all phases of the care continuum

Qualifications:
  • Must be a Certified Medical Assistant (CMA)
  • High school diploma or GED; healthcare-related coursework such as medical terminology or anatomy and physiology preferred
  • Minimum of three (3) to four (4) years experience working in a clinical healthcare environment is required
  • Current CPR certification
  • Personable, effective at multitasking, high regard for excellent customer service, and team orientated.
  • Excellent computer skills, such as Microsoft Application, iKnowMed (preferred, but not required) Centricity, and other EMR systems (preferred, but not required).
  • Excellent written and verbal communication skills.
  • Experience working with providers
  • Proficiency in reviewing medical records and other patient care information
  • Strong knowledge and understanding of HIPAA compliance and patient confidentiality regulations and policies

Work may require sitting for long periods; also stooping, bending, and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, a calculator, a telephone, a copier, and other such office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for prolonged periods.

Work is performed in a clinical environment and requires frequent interaction with staff, patients, and the public. Work may require minimal travel by automobile to referring and prospective providers or other USON buildings. This is an on-site position.
