Purpose

The People Operations Specialist III is responsible for supporting the management and maintenance of all people systems and data, including but not limited too the HRIS, Applicant tracking system (ATS).

Additionally, this role assists the People Ops Lead in maintaining and communicating people processes and workflows and serves as the front-line responder to all employee queries.

The Role

•Administer, maintain and audit HRIS and other people-related systems, ensuring data integrity, accuracy and system functionality

•Execute the onboarding process, including compliance with all required new hire documentation (e.g., I9 verification, background checks, badge creation etc.) as well as ensuring an exceptional employee experience

•Manages, Audits and reports on People Ops budget expenditures, including benefits reconciliation, credit card expenses, purchase requisitions and other expenditures as assigned by the People Ops Lead or CPO

•Performs all LOA intake and prepares associated documentation, ensuring compliance with support from People Ops Lead

•Supports ADA process, including interactive process, documentation, and tracking

•Runs ad hoc people data reporting as assigned by the People Ops Lead or CPO

•Manages offboarding procedures, including processing employee separations, paperwork, coordinate exit interview and coordinate final check

•Manage HR alias inboxes and provide timely support to all internal and external inquiries, working alongside HR team to ensure all issues are resolved and escalated if/when necessary

•Facilitate cross-functional communication among recruiting, facilities, payroll, and IT to spearhead process improvement initiatives, enhance collaboration and streamline workflows for increased efficiency

•Accurately document and promptly report employee data changes to the payroll department, ensuring updates are made well in advance of payroll processing

•Organize and maintain digital files for People Operations, including personnel records, templates, process documents, and other related materials.

•Handle all incoming mail, file appropriately, respond to VOEs and/or unemployment claims, etc

•Other ad hoc projects or assignments as assigned by People Ops Lead or CPO

Basic Qualifications

•Knowledge of State and Federal labor law, including Wage & Hour, LOA, ADA, FMLA, OFCCP, and Mandatory compliance training

•Builds and maintains position and effective relationships with employees and candidates

•Analytical and problem-solving capabilities, with the ability to make data-driven decisions, including an intermediate level of Excel knowledge (pivot tables, nested formulas, etc.)

•Excellent written, verbal and interpersonal communication skills

•Keeps stakeholders informed, brings the bad news early

•Exercises sound judgement using fundamental business acumen and risk assessment in dealing with complex people related issues

•Supports and maintain sound process efficacy

•Ability to work onsite

Preferred Qualifications

•Advanced excel skills, including data visualization and deriving and reporting insights from data

•Ability to manage employee relations matters including intake, witness management, resolution and corrective actions

•Advanced LOA administration knowledge
