**Description**
**Job Summary:**
Primarily responsible for leading the customer service function and coordinating office administration duties. This position includes direct Customer Service duties including direct contact with customers, leading and directing other Customer Service personnel, and handling numerous administrative duties. Functional duties include assisting HR, completing purchases, and maintaining a professional office and reception area.
**Responsibilities:**
* Customer Service duties:
* Assist/coordinate Salespeople initiatives with customers.
* Communicate directly with customers on account setup, part number setup, order taking, claims, and technical product development for non-standard products.
* Support Marketing initiatives including materials, and samples.
* Complete logistics work with FedEx and LTL on deliveries, submitting claims, and getting freight quotes.
* Enter claims into QA system using Salesforce. Document claim transactions. Process Return Authorizations, Invoice orders, Freight quotes, credit memos.
* Deduct rebates and make direct credit card sales.
* Review / Sign off Customer Pricing Matrix changes.
* Technical duties:
* Work with customers to develop item specific technical schematics for non-standard products. Interact with Management to determine feasibility. Coordinate feasibility with customer to determine whether a sale is feasible. Communicate quotes.
* Support maintaining FSC and ISO-14001certifications. Have documentation for annual audits.
* Administrative duties:
* Process and send Account Payables in a timely fashion to Finance to process Accounts Payable in a timely manner to take advantage of discounts.
* Must carry out company policies and must enforce them with respect to other office personnel.
* Process Purchase orders for office supplies for office and plant.
* Act as receptionist or direct receptionist on duties including answer incoming phone calls, control Security for Office door, welcome visitors, and hand out/Take applications. Maintain a professional looking, friendly reception and office area.
+ Assist HR Coordinator when needed by distributing weekly payroll, handing out HR forms, helping organize social events, ordering gifts and putting up and taking down HR postings. Supply plant supervisors with requested forms.
* Manage Signature Flex purchases, inventory and sales.
* Complete Reports and Special projects as assigned.
**Essential Functions:**
* Excellent communication and interpersonal skills required.
* Detailed oriented, good with basic math and able to work in team environment required.
* Ability to work without supervision and to make appropriate decisions.
* Ability to work flexibly and adapt to different situations.
* Ability to process work with accuracy, confidentiality, and to perform multiple tasks simultaneously.
* Ability to work with blueprints, and schematics.
* Ability to work in a stationary position in usually an office environment.
+ Physical activity includes sitting, maneuvering on plant floor, talking, listening, handling, and reaching.
* Ability to work with office equipment including but not limited to computers, printers, copiers, calculators, and telephones.
* Must dress professionally and appropriately.
**Education, Experience, and Qualifications:**
* High School Diploma or GED equivalent required
* Two to three years of experience in customer service preferred.
* Understanding Seneca Millwork products and capabilities.
* Experience in computer applications.
+ Working knowledge of Microsoft Word, Excel & Outlook.
+ Working knowledge of Qantel, and Salesforce.
