The Automotive Warranty Clerk is responsible for managing warranty claims for automotive products and services. This role involves liaising between customers, manufacturers, and service departments to ensure warranty claims are processed accurately and efficiently. The Warranty Clerk will also maintain warranty records, verify warranty coverage, and communicate with relevant parties to resolve warranty-related issues. Strong organizational skills, attention to detail, and excellent communication abilities are essential for success in this role.

- Process warranty claims promptly and accurately in accordance with manufacturer guidelines and dealership policies
- Verify warranty coverage for automotive parts and services by reviewing manufacturer warranties and service agreements
- Coordinate with service technicians to diagnose warranty-related issues and determine appropriate solutions
- Liaise with manufacturers and suppliers to obtain authorization for warranty repairs or replacements
- Maintain accurate records of warranty claims, including documentation, approvals, and reimbursements
- Monitor the status of warranty claims and follow up as needed to ensure timely resolution
- Provide assistance and support to service advisors and other dealership staff regarding warranty-related inquiries
- Collaborate with the accounting department to reconcile warranty receivables and payables
- Stay updated on manufacturer warranty policies, procedures, and updates to ensure compliance
- Identify opportunities for process improvement and contribute to the development of efficient warranty processing systems
- Adhere to dealership and industry standards for customer service, professionalism, and ethical conduct
- High school diploma or equivalent; post-secondary education or relevant certifications preferred
- Previous experience in automotive warranty administration or a related field is advantageous
- Proficiency in computer applications, including MS Office and dealership management systems
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously
- Excellent attention to detail and accuracy in data entry and record-keeping
- Effective communication skills, both verbal and written, with the ability to interact professionally with customers, colleagues, and manufacturers
- Problem-solving abilities to address warranty-related issues and find appropriate resolutions
- Ability to work independently with minimal supervision as well as collaboratively within a team environment
- Familiarity with automotive terminology, parts, and repair processes is beneficial
- Commitment to providing exceptional customer service and maintaining positive customer relationships
- Flexibility to adapt to changing priorities and work schedules in a fast-paced dealership environment
